Our UW Medicine Human Resources team has an outstanding full time opportunity for an interim Workforce Management Systems Manager. This a 9 to 12 month temporary position.
UW is in the process of implementing the Workday HR and Payroll (WD) system with an anticipated go-live date of June 2017. This position will assist with the implementation process in the UW Medicine Human Resources department, learn the WD system if not already known, and prepare to backfill the existing Workforce Management Systems Manager who will be going on leave from August - December 2017. As the interim Workforce Management Systems Manager the position will be responsible for managing one HR analyst and six HR consultant assistants who have the primary responsibility for WD entry for approximately 10000 staff. The team is also responsible for key parts of the employment process and new employee orientation for approximately 200 employees per month.
Workday Implementation and Expertise
Maintain and adapt system configuration; create and document new processes and procedures for Medical Centers specific WD processes; create and document current business processes and analysis of what will be impacted with the implementation of WD; develop solution of issues, implement change and communicate to appropriate parties; as request for reports come in this person will work with customer to define and document report requirements, work with the report developer to create report, prioritize report development, and test and track report creation; Serve as first line support for WD issues escalated by WMS and Nursing Recruitment staff. Works closely with Campus Integrated Service Center (ISC), UW Medicine Payroll Services and UW Payroll to make sure data entry goes smoothly and as expected which is surprisingly complex given UW's multiple contracts and employment classifications including classified non-union, unionized, exempt and non-exempt professional staff, UW students, work study students, nurse techs from programs outside UW, light duty program, etc. Triage and resolve any tickets submitted through Campus' ISC ticketing system (UW Connect).
Provide support for any changes to WD supervisory organization assignments as well as WD privilege role assignments.
Provide any additional support as needed in preparation for WD go-live and stabilization.
Supervisory and program responsibilities
Supervises the six HRCA 2 staff responsible for WD entry for the non-nursing groups and functional responsibility for the four staff in Nursing Recruitment who will do WD entry. Develops new processes and procedures, arranges and conducts data entry audits, and ensures data integrity. Trains new employees and team when new procedures are established. These staff also provide critical support for the new employee orientation process for approximately 200 employees per month: new hire letters, scheduling orientation, ensure completion of new hire employment documentation such as I9, orientation sign-in and completion validation, etc. Prior to employment they conduct background checks and regulatory checks (WATCH, OIG and GSA/EPLS). Will be responsible for national background check process working with third party vendor (A-Check). Additionally, supervise the work of one HR Analyst.
Supervises 1-3 hourly staff including work study, summer employees, and as needed additional support.
Highly sought after member for committees related to HR systems, payroll, temporary employment monitoring, etc.
Bachelor's degree and 4 to 5 years related experience
Experience in human Resources and modern HR information systems
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. Project management or documentation experience and/or Workforce Management Systems implementation experience
Familiarity with Workday
Worked at Harborview and/or UW Medical Center
Familiarity with UW Administrative Applications including HEPPS, OPUS, ETR/PTR, and OWLS
