The Director of Artistic Planning supports the planning of all BSO concerts, including Classical and Pops subscription programs, the annual Gala, Messiah and other special events, summer concerts, runouts and educational concerts programming. Reporting to the Vice President and General Manager, the position works in close collaboration with Music Director Marin Alsop, Principal Pops Conductor Jack Everly, Principal Guest Conductor Markus Stenz, and the musicians’ Artistic Advisory Committee. The Director of Artistic Planning seeks to implement the artistic vision of the Music Director, consistent with the overall institutional goals of sustaining world-class artistic excellence and building future audiences.
As a vital member of the General Manager team, the Director of Artistic Planning works closely with the concert production and facilities staff, the Director of Orchestral Personnel, the Library, the Stage Crew, Education, Development, and the P.R. and Marketing departments to ensure the highest quality, effective execution, and audience appeal of the BSO’s programming.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Support the Music Director, the President & CEO, and Vice President & General Manager throughout the artistic planning process for the Classical and Pops subscription series and other classical events including the annual Gala and Messiah, BSO Academy, run-outs, the Pulse series and summer classical concerts
- Work closely and collaboratively with the Music Director, Principal Pops Conductor, Principal Guest Conductor and other staff conductors, the orchestra’s Artistic Advisory Committee, and appropriate staff
- Advise the Education team in the development of education programming including Music For Youth, Tiny Tots, Family Concerts, Rusty Musicians, BSO Academy, and Music Box
- Collaborate with the P.R. & Marketing, Development, and Education departments in shaping the promotion and funding of the artistic program, including timely and effective communications of artistic details for implementation by production and marketing staff
- Assist the Music Director and Vice President & General Manager in the commissioning process, including maintaining relationships with composers, the development of commissioning projects, and the negotiation and execution of agreements
- Ensure effective communication of artistic planning with orchestra musicians, playing an active role with Artistic Advisory Committee and, as needed, the Players Committee, and encouraging and facilitating musician participation in the artistic planning process
- Provide a welcoming environment for conductors and guest artists conducive to encouraging the highest quality artistic experience
- Negotiate fees and initiate the creation of guest artist contracts and oversee contract execution process of artistic department
- Oversee the collection of rehearsal orders, string strengths, and editions from guest conductors for distribution to necessary staff
- As needed, supervise artistic requirements for marketing & development events, including musician and guest artist involvement and logistics
- Assist Vice President & General Manager in the development of the artistic budget, be accountable for expenditures within budget parameters, and work closely with Artistic Planning Manager to ensure budget tracking
- Create and manage the cover conductor schedule for all classical subscription weeks.
- Stay current of symphonic music activities nationally and internationally and make recommendations for developments of potential interest to the BSO; research new and unfamiliar repertoire
- Identify new artistic talent including emerging conductors, instrumentalists and vocalists
- Assist Music Director and Vice President & General Manager in artistic research including screening of prospective artist materials, and coordination of artist auditions
- Ensure that programming plans are feasible within the terms of union contracts, including local AFM and IATSE collective bargaining agreements
- Oversee the BSO Archives
- Serve in artistic concert duty rotation
QUALIFICATIONS AND CAPABILITIES
- Bachelor’s degree in music or equivalent experience
- A minimum of five (5) years increasingly responsible orchestra artistic planning experience
- Extensive knowledge of repertoire and artists, significant orchestral experience within the music industry, specifically with managers and music publishers. Experience dealing with international artists is also required
- Proven creative skills with emphasis on programming and concert production
- Considerable experience in negotiation of contracts and performance fees within tough economic parameters
- Demonstrated effective planning and organizational skills, able to meet deadlines consistently in a timely manner
- Excellent critical thinking, strategic planning, and problem solving skills with an enthusiasm for finding creative solutions to difficult challenges
- Ability to communicate effectively with individuals and teams and to handle calmly and efficiently situations ranging from routine to emergency
- Ability to work well with others and operate in a collaborative team environment
- Sensitivity to the needs of professional artists, including conductors, orchestral musicians, and guest artists
- Ability to implement projects proactively from conception to completion
- Ability to represent the BSO professionally and effectively with a wide range of constituents including orchestra members, staff, board, guest artists, managers, contractors, and patrons
- Ability to handle multiple interruptions and adjustments to priorities throughout the day
- Demonstrated superior written and verbal communication skills
- Excellent computer skills including knowledge of Microsoft Office with a fluid ability to manipulate spreadsheets and process financial data, experience with ArtsVision and OPAS a plus – willingness and aptitude to learn new software as required
