Provide HR support to Department of Biostatistics and serve as primary point of contact for department personnel/payroll issues. Explain HR policy and procedures to faculty, supervisors, managers, and other staff. Respond to routine inquiries using basic knowledge of HR processes and procedures. Process payroll and initiate payroll forms including transactions for new hires, annual increases, transfers, bonus supplements, fellowship payments, and terminations. Administer E210 time and attendance records, track sick leave, vacation leave, and leave of absence, FML and STD for employees. Initiate ISR's for new hires, LOA's, and terminations. Resolve issues as needed. Enter weekly hours into CATS system. Process hire and payroll ISRs for short term personnel such as Visiting Students or Visiting Scholars. Coordinate distribution of payroll checks as needed.
Assist and advise employees on tax information, sick time, vacation time, holidays, leave of absence, family medical leave, payroll, tuition reimbursement, flexible fringe benefits, deductions, etc. Participate in staff meetings and give regular updates on HR policies, news, and departmental personnel transitions.
Responsible for student employment management and payroll for department, including processing student hires of graduate and undergraduates, monitoring employment data and changes such as funding and hours. Assist in development of department student pay policy and advise supervisor and faculty on wage types/pay processes, new student hires and student work guidelines. Work closely with Sr. RSA to monitor student RA positions and funds; make adjustments to pay as needed. Exhibit a high level of customer service in advising students with payroll issues and processes. Process payroll cost transfers (e-forms) and ISRs for position create/maintain. Review and complete quarterly effort reporting forms for student employees in ERS system.
Regularly monitor work authorization reports and resolve problems. Coordinate visa process for international faculty, fellows, and staff, working with JHU OIS or with external companies such as Cultural Vistas. Resolve visa and credentialing issues. Responsible for processing all departmental I-9 requests and resolving e-Verify issues with Payroll and HR.
Maintain other support and biosketch documents for selected group of faculty. Coordinate details with faculty, update documents, and submit documents to other financial staff as requested. Responsible for other duties and transactions as assigned including department on-line check requests and travel reimbursements. Maintain faculty database for certificates such as Conflict of Interest and Human Subjects Research; advise faculty of training resources as needed.
Assist Department Administrator, faculty, and senior staff with staff recruitment and hiring. Pull generic or standard job descriptions and submit requisitions to JHU Jobs. Work with Administrator to develop and review current and new job descriptions, coordinate information with faculty supervisors as needed, and suggest changes based on understanding of area and need. Serve as liaison between HR Office recruitment staff and supervisor; may participate in preliminary interview of candidates. Contact candidate references and collate information. Ensure all new staff are scheduled for orientations and required on-line courses. Assist Administrator in creating and maintaining department orientations and training modules; may deliver training. Interpret HR policy and procedures, and coordinate with senior management to establish department practice within JHU guidelines.
Maintain records through filing, retrieval, retention, storage, compilation, coding, updating, and destruction. Create and maintain HR databases. Type routine correspondence and reports using personal computer. Gather and compile data for reports as needed. Answer and direct multi-line telephone calls. Greet and direct visitors to appropriate office/staff.
