Whittier Law School seeks a motivated Assistant Registrar with the requisite background and skills to assist in the daily activities and services provided by the Registrar's Office. The Assistant Registrar has the direct responsibility for processing transactions associated with registration, grade recording, certifications, verifications, and academic audits. The Assistant Registrar also assists in managing and ensuring the effective use of enterprise systems including, but not limited to, Banner, Degree Works, Winsmart, and ExamSoft. S/he also assists with data verification, review, and correction.
POSITION DUTIES AND RESPONSIBILITIES:
Essential Duties and Responsibilities: Defined as "essential functions," these are primarily job duties that an incumbent employee must be able to perform unassisted or with some reasonable accommodation made by the employer, Whittier Law School.
Coordinate student records;
Provide exceptional customer service to students, faculty, and staff;
Supervise the activities of the student services front counter;
Certify student enrollment and degree verification and process necessary documentation to support student and prior students' eligibility for examinations, licensure, and academic appointments;
Assist the Director of Financial Aid and Registrar Services in running data reports using the Banner and Microsoft Access and assisting in the development of reports for use in assessment and strategic planning;
Assist the Director of Financial Aid and Registrar Services with certifying students with the California State Bar as well as other bar associations;
Assist with preparation and annual updating of the Registrar Office policies and procedures;
Assist with registration and the preparation of the Class Schedule and Registration Guide;
Assist the Director of Financial Aid and Registrar Services in processing petitions to academic policies. Supply necessary information to the Academic Standards Committee to assist them in the decision making process. Act as representative of the Registrar to the committee in absence;
Review and screen all visiting student applications; inform students of acceptance and coordinate enrollment in coursework;
Process withdrawals/leave of absences requests;
Ensure compliance with academic, regulatory and accreditation policies and requirements; oversee routine and ad hoc data reporting;
Participate in the Registrar's Final Examination Administration Team, including assisting the Director of Financial Aid and Registrar Services with grading procedures, technical support for ExamSoft as a means to administering final exams, and other assignments as necessary;
Organize the submission of CALI awards;
Assist the Director of Financial Aid and Registrar Services in other areas of the department as needed.
POSITION SPECIFICATIONS AND REQUIREMENTS:
Education and Experience:
At least two years of college. Bachelor's degree desired.
At least one year of relevant experience in a Registrar or Admissions Office, preferably in a law school.
Experience with student information systems. Banner strongly preferred.
Experience with report writing software. Microsoft Access preferred.
Strong interpersonal skills with ability to relate to diverse constituencies (including students, faculty and staff) and communicate effectively orally and in writing, and a service-affirmative outlook.
Detail-oriented with excellent organization and time management skills.
Ability to organize workflow, coordinate activities and manage multiple priorities.
Ability to work evening and/or weekend hours as required.
Ability to work cooperatively as member of a team and in a professional manner, and to constantly strive to improve performance and functioning of the office.
Must be highly motivated and solution-oriented and possess a high degree of integrity, ethics, and dedication to the mission of Whittier Law School and Whittier College.
Must maintain confidentiality when performing duties and responsibilities of the position. The Assistant Registrar is expected to comply with all relevant provisions of the Family Educational Rights and Privacy Act (FERPA), 20 U.S.C. § 1232g; 34 CFR Part 99.
