The Financial Aid Office is responsible for the determination of eligibility for and awarding of federal, state, institutional and private grants, scholarships, and work and loan programs in excess of $150M annually to over 13,000 eligible students. The office is responsible for adhering to the regulatory requirements as outlined in federal and state regulations as well as donor and institutional policies and for assuring compliance by the University. The Financial Aid Office serves the University by assisting students in obtaining financial aid and scholarships to attend Cal Poly. The Office's primary function is to provide appropriate financial aid based on federal and state parameters and in keeping with CSU and Cal Poly institutional policies.
Under the general direction of the Assistant Director of Financial Aid and Scholarships, this position is analyzes and coordinates available scholarships, state, and federal aid in accordance with state and federal regulations to assist the university in retaining and graduating students needing financial assistance through a comprehensive program of Cal Poly scholarships, special grants and support services.
The following examples illustrate typical work activities and are not meant to be all inclusive or restrictive:
Determine which scholarships and in what amount are available for departments to award: create population spreadsheets with data needed to identify eligible students; communicate both scholarship data and scholarship availability to department heads; be available to answer questions; review and confirm eligibility of department decisions; and post awards, coordinating state and federal aid as necessary following financial aid awarding procedures including federal and state regulatory requirements.
Build, evaluate, and maintain the Academic Works Software for scholarships: define scholarship criteria and test the database to ensure accurate selection of eligible students; coordinate with department scholarship selection committees to create appropriate and effective questions to be answered by applicants to identify students who best meet any specific criteria not easily obtained through the data base.
Maintain the Academic Works Software, update for new scholarships, and update fund availability and maintain department committee access to ensure only eligible staff and faculty have access to the scholarship data base.
Reconcile institutional scholarship funds and ensure funds are not over-spent.
Identify potential eligible students for Cal Poly scholarships based on donor specified requirements which requires detailed analysis and effective assessment of admission, academic, and financial aid data.
Coordinate with the Athletic Department and the Athletic Aid liaison within the Financial Aid Office for coordination of named scholarships specific to Athletics,
Evaluate students for renewal eligibility; communicate with CP Scholars program coordinator regarding programmatic renewal criteria; and communicate with students when appropriate for non-renewal.
Answer questions from students and parents regarding scholarship opportunities or questions about current scholarship awards. Make appropriate referrals to scholarship counselors.
Read communiques keeping abreast of federal, state, NCAA, institutional and departmental regulations and policies. Evaluate, interpret, make recommendations, and lead the implementation office policies and procedures.
Minimum Qualifications (Staff Only):
Equivalent to graduation from a four-year college or university. Three years of technical or administrative experience. A graduate degree in a related field may be substituted for one year of the required experience. Additional qualifying experience may be substituted for the required education on a year-for-year basis.
Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to fiscal analysis, and maintaining and reconciling fiscal accounts to develop conclusions and make recommendations.
Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
Knowledge of, or ability to quickly learn, federal, state and NCAA aid requirements as well as general financial aid awarding policies to properly coordinate athletic aid packages.
Ability to communicate complex financial aid and scholarship information clearly and concisely.
Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
General knowledge of or the ability to quickly learn admissions, academic records, and student accounts procedures and practices and how they interface with financial aid procedures.
Ability to use tact and diplomacy to effectively handle a broad range of high level and sensitive interpersonal situations with diverse personalities, and to respond appropriately to conflicts and problems.
Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing. Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
Thorough knowledge of English grammar, spelling and punctuation.
Ability to interpret, communicate, and apply policies and procedures.
Demonstrated ability to maintain a high degree of confidentiality.
Excellent computer skills and proficiency with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
Working knowledge of or ability to quickly learn University infrastructure, policies and procedures and university wide student services programs.
Ability to work in a high energy, fast-paced environment and respond in a positive, supportive and professional manner.
Demonstrated skills in an institutional or educational environment utilizing a customer-oriented and service-centered attitude.
Experience with MS Word, Excel.
Experience using student administration systems such as PeopleSoft.
Knowledge of financial aid.

Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work extended hours, occasional holidays, and adjust working hours to meet organizational needs. May be called back periodically to perform work as needed on an emergency basis.

This position classification has been defined as "Exempt" and is not subject to the overtime provisions of the Fair Labor Standards Act (FLSA).
Must not be in default on a federal student loan or owe a repayment of a federal grant.
Retired CalPERS members selected for this vacancy must request and be approved for reinstatement from retirement prior to the start date. Employment of retired CalPERS members will typically be for 90 days or less and must be for work requiring specialized skills or for a bona fide emergency to prevent stoppage of business.
