This position has dual reporting to the Assistant Dean of Liberal Arts Education and to the Director of Degree Candidate Advising and Program Administration at Harvard University Division of Continuing Education (DCE).
As an Executive Assistant the incumbent is primarily responsible for organizing administrative systems to coordinate meetings. Assists in maintaining the Assistant Dean's schedule. Oversees smooth day-to-day communications within the office through follow up messages and personal contact. Coordinates group meetings, including food and beverage ordering. Monitors and maintains office budget. Draft and edits correspondence to students, internal DCE colleagues, and faculty. Prepares and maintains records on students, running reports as needed. Keeps records on research assistant's time use and interactions with students. Involved with surveying and data collection of projects regarding student progress. Creates and maintain relevant office websites, such as a Confluence page. Coordinates support for office to keep current technologically (e.g. with Confluence, Hipchat, etc.)
As a Thesis Coordinator the incumbent will manages the entire thesis process. Serves as an active participation in Thesis Taskforce meetings. Works with Registrar to set up thesis CRN's. This role is the point person for student and faculty thesis questions. Follows up with thesis students and faculty on a regular schedule. Assist with the creation and maintenance of student progress files, participation in other projects as needed (e.g. thesis template project, follow up survey project, etc.), involved with Capstone Course creation, serves as liaison between faculty, communicates needs. Assists in the planning and execution of Commencement. Performs additional related duties as required.

The Division of Continuing Education (DCE) comprises several entities including the Harvard Extension School, the Harvard Summer School, the Harvard Professional Development Programs and the Harvard Institute for Learning in Retirement. For more than a century, Harvard Extension School has made Harvard faculty and teaching accessible to a diverse community of local, national, and international students. Harvard Extension School enrolls approximately 13,000 students per year in approximately 65 liberal arts and professional fields. More than 650 open enrollment online and classroom courses are offered at affordable prices to our communities across the world. Harvard Summer School offers approximately 300 courses on the Harvard Campus to 6,000 secondary school, college and adult learners and more than 30 international study abroad programs for up to 600 students each summer. The Division also includes the Harvard Institute for Learning in Retirement with approximately 550 active members and Harvard Professional Development Programs offering about 60 two-day, noncredit courses annually.

A minimum of three years of administrative experience. Education beyond high school may count towards experience. Proficiency with Microsoft Word.
Excellent interpersonal and communication skill required. The ability to prioritize work in an environment with multiple and conflicting interest. Ability to work independently with minimal supervision. Strong oral and written communication skills. Strong attention to detail is a must. Strong organizational skills.
