Summary of Duties and Responsibilities:
The College of Business Undergraduate Office at Iowa State University is currently seeking applicants for an Undergraduate Student Specialist. This position will provide professional level assistance to the Undergraduate Programs Office. The position will be responsible for student records management; supporting and assisting with departmental functions and office management; and will have direct involvement with payroll/leave processing for all office staff. This position will also serve in concert with the Classification Officer in the supervision of the student office assistants, and provide back-up for new student orientation processes.
Duties will include developing, managing, and coordinating program databases, general files, course and enrollment records, and student information that support the efforts of the advisers and our students, both incoming and current. Specific tasks will include management of admissions records for incoming students (degree and non-degree plus Admissions Partnership Program (APP) students); oversight and processing of curriculum changes, multiple curricula and minor forms for current students; creating and maintaining reports and data on these groups of students for planning and reporting purposes; and processing and oversight of academic reinstatement and re-entry petitions.
In addition to the duties listed above, the position will serve as the office manager for purchasing, coordinating front desk operations and work flow (including new EAB online appointment scheduling system); and act as a key figure in the decisions about legacy records management for the office.
This staff member will serve, collaborate, and interact with all staff in the duties of this position, and will work closely with the Director, making decisions on records management and procedural functions. All staff members are expected to work independently as well as part of a team, and interact collegially with internal and external constituents while maintaining the highest standards of integrity and ethics.
Required Education and Experience:
Bachelor’s degree and related experience; OR a combination of education and/or related experience totaling more than 4 years unless otherwise specified under supplemental required education and experience. Experience must be at a comparable level and directly related to the duties of this position.
Preferred Education and Experience:
- Degree in business, communications, or higher education
- Demonstrated experience with Kuali, Access Plus/ADIN (or other SIS systems) and online appointment scheduling systems
- Experience that demonstrates familiarity with ISU systems/processes
- Experience working efficiently in a high-traffic service office in a higher education setting
- Experience providing general supervision
