Friday Habor Laboratories (FHL) is a research unit of the College of the Environment, located on a 490 acre biological reserve on San Juan Island. The primary mission of FHL is marine research, with teaching and public outreach also an important part of our mission at UW. FHL was established over 100 years ago and operates year-round, bringing scientists, students, and scholars from all over the world together to study and conduct research in the marine sciences.
FHL is a unique unit within the College since it is a research station, offers undergraduate and graduate classes, runs dormitories and The Whiteley Center for Scholars, operates scientific diving and other research from FHL-owned vessels and small boats, and runs a dining hall.
Friday Harbor Labs has an outstanding opportunity for an Administrator. The FHL Administrator is responsible for providing administrative leadership and support to facilitate the success of FHL's academic and research programs, and diverse campus operations. Together with the Director, the Administrator implements and upholds administrative policies and procedures to ensure compliance with applicable UW, state, and federal requirements and best practices.
SUPERVISE FINANCIAL OPERATIONS AT FHL:
Manage self-sustaining budgets, including FHL housing, dining, Centennial, small boats, lab fees, facilities use fees, and diving. Activities include setting up payroll distributions, setting up expenditures, reviewing expenditures, and reconciling monthly transaction reports. Work with FHL Fiscal Specialist on the annual rate proposals.
Manage state budgets, including setting up projections, reviewing expenditures, reconciling budgets, and preparations for biennium close and open. Run financial projections to assure proper allocation of resources.
Oversee scholarship and fellowship budgets.
Review ProCard and other expenditures for all FHL budgets.
Set up and manage grants and contract proposals, and provide administrative support to scientists in the financial management of their grants from preparation to conclusion of the grants. Work with PIs on budgeting and submission of proposals in SAGE and Fastlane or other sponsor systems. Review expenditures with an eye towards compliance with UW and federal regulations. Perform follow-up work in cost sharing and faculty effort certifications, and help implement closure of grant and contract budgets.
ADMINISTER HUMAN RESOURCES:
Lead HR activities at FHL, including Academic HR and Staff HR. As of June and July 2017, will work intensively in Workday, the UW's new HR/Payroll system, and will have multiple security roles and responsibilities through that system.
Training will be provided in May and June 2017, and ongoing after that as needed.
Academic HR: Gather the paperwork to set up academic appointments for visiting faculty in spring, summer and fall quarters. Working with CoEnv and other departments (SAFS, Oceanography, Biology, SMEA) to set up these appointments.
Staff HR: Work with UW Human Resources and CoEnv Human Resources on employee actions including hiring, reclassification, FMLA or other leave, layoffs, disciplinary issues and other HR issues.
Responsible for payroll entry and coordination.
Supervise six office staff, including two Fiscal Specialists, two Program Coordinators, one Scientific Stores Attendant, and one IT Supervisor. Coach, advise, and mentor these staff to facilitate their effective performance, professional growth, and cross-training. Evaluate performance annually and provide regular performance feedback as necessary throughout the year.
Assist REU program PI and coordinator by soliciting proposals from mentors, coordinating with PI regarding budget and policies, helping to catalyze REU student travel, set up stipends, and other preparations in the REU program. Perform follow up with financial reporting at end of summer.
Support FHL's managers of FHL operations with payroll, HR services, budget rate proposals and other financial services.
Serve on the FHL Safety Committee and other committees TBD.
