The Tumor Vaccine Group within the Division of Medical Oncology has an excellent opportunity for a full time Publications Coordinator to serve as an Editorial Manager. This individual will oversee the publication operations of the monthly, international, peer-reviewed journal, JAMA Oncology, which is housed in the Tumor Vaccine Group, within the Division of Medical Oncology at the UW Department of Medicine. JAMA Oncology is committed to publishing influential original research, opinions, and reviews that advance the science of oncology and improve the clinical care of patients with cancer.
This individual will have independent oversight of the editorial office of the journal, including coordination of manuscript submissions and daily communications with authors, editors and reviewers. Key responsibilities include: planning, directing, and coordinating the publication process; working with authors and their manuscripts to ensure adherence to submission and acceptance guidelines; assigning submissions to editors; coordinating with editors and reviewers throughout the manuscript review and decision processes; issuing and processing invitations to reviewers and authors; ensuring timely delivery of reviews and communication with all parties regarding editorial decisions; helping to guide authors to follow editorial policies and to properly format manuscripts for acceptance; helping to schedule online and print publication of articles and other journal content; inviting article submissions; and managing editorial inventories, page budgets, and schedules. Strictest adherence to all deadlines and keenest eye for detail required at all stages.
Under the general direction of the JAMA Oncology Editor, independently plan, direct, and coordinate all aspects of the JAMA Oncology publication process. This includes planning, coordinating and participating in manuscript and editorial meetings and conference calls; independently prioritize needs of editorial management team and coordinate all travel arrangements; assist with communications and support for the journal's editors and the editorial board.
Oversee the process of submitted manuscripts and other journal content and contribute to writing, editing, design, and production; monitor article submissions and coordinate their review, and participate in editorial decisions.
Independently perform critical manuscript review at all stages of processing to ensure compliance with journal standards as set forth by the publisher and accepted editorial policies. Provides quality control check for all initially and re-submitted manuscripts prior to editorial review, ensuring all files are formatted and uploaded properly by the author/reviewers.
Act as primary liaison with the JAMA Network Chicago-based editorial managers with regard to editorial policies and procedures, management of deadlines and online/print publication schedules, management of editorial inventories and page budgets, and planning of the annual editorial board meeting.
Become proficient with the journal editorial management systems supplied by JAMA for timely and efficient management of editorial manuscript submission and QA, peer review, soliciting invited manuscripts, editorial decisions, author revisions and acceptance, securing authorship forms and permissions, support for and communications with authors and reviewers, support for decision making editors, scheduling for weekly online and monthly print publications, transfer of accepted content to production system, management of editorial inventories and page budgets, and generating and analyzing standard editorial reports of journal key performance indicators.
Oversee the daily activity in the manuscript submission and peer reviewer database for the journal and coordinates the peer review process for manuscripts sent for external review. Contacts peer reviewers chosen by the Editors/Guest Editors to request peer review; chases delinquent authors and reviewers; maintains accuracy of author, reviewer, and editor profiles in the manuscript submission system; follows established protocols and procedures in handling and filing confidential information and materials.
Fields all queries from authors about manuscripts submitted but not yet accepted or rejected; from reviewers (recruited and committed); from the Editorial Board and Guest Editors. Responds to complaints and/or works with others to make adjustments to resolve, with appropriate referrals to Senior Editors and AMA legal counsel.
Independently project, monitor, maintain, initiate and/or approve expenditures related to JAMA Oncology editorial staff and office.
Using statistical, spreadsheet and/or other data base software, maintain accurate statistical information and monitor journal key performance indicators and fiscal records to include processing of requisitions, invoices and payroll; and travel reimbursements.
Perform related duties as required.

The Tumor Vaccine Group is located at the UW Medicine at South Lake Union campus in a translational research environment that includes laboratory, clinical research and administrative office areas. Work is deadline driven and requires a high level of accuracy, extensive communication with scientists, staff and external collaborators from diverse backgrounds.
This position may be stressful at times in that there is a constant pressure for quick turnaround time for assigned projects.
