We have an exciting opportunity to join our team as a Contract Specialist II.
In this role, the successful candidate The Contracts Specialist of the Office of Sponsored Programs Administration (SPA) is responsible for the review and negotiation of contracts, grant agreements and other agreements (including sub-awards and sub-contracts) administered by SPA. The position entails processing of all such contracts and liaisoning with sponsoring agencies, collaborating institutions, the Deans Office, the Department, the Principal Investigator, the Office of Science and Research (OSR), the Office of Industrial Liaison (OIL), the Office of Clinical Trials (OCT), the Office of Development (Development), the Office of Legal Counsel (OLC), the Department of Insurance (Insurance), and others. The Contracts Specialist must work as part of a team within the research community to establish contracts, grant agreements and other agreements for the Director of SPAs signature
- OTHER: Perform general word processing duties utilizing intermediate to advanced-level functions. Perform copying, scanning, distribution, and filing of all contractual documentation relating to any research projects being processed through the OCT. Participates in activities related to system improvement within OCT. Perform other administrative duties as assigned by supervisor.
- ADMINISTRATIVE: Assist with prioritizing OCT office activities (e.g., respond to inquiries using comprehensive knowledge of the departments activities, policies and procedures). Customize and/or compose letters on own initiative or in response to requests for information. Modify and/or create databases and complex spreadsheets. Maintain current knowledge and processing guidelines of all forms, guidelines, manuals, directives, etc. which apply to the contracting process at the NYU School of Medicine. Alert supervisor to any significant changes in documents requiring managerial review. Assist supervisor and OLC in development of new forms, guidelines, manuals, and directions in connection with OCT contracting process.
- CONTRACT DEVELOPMENT, NEGOTIATION AND EXECUTION: The Contract Specialist renders the following general support; Assist Director with preliminary review of all OCT contracts (e.g., marking up the contract based on the form, guidelines, and supervisors instruction; seek advice of Office of Legal Counsel (OLC) when necessary; relay the material factual information regarding the study to applicable Research Management Coordinator). Identify and implement useful precedents for the study based on patterns established by previously reviewed contracts. Ensure processing of clinical trial agreements and other agreement for the Directors signature (e.g., coordinate with PIs to obtain the appropriate final documents, coordinate with investigators to make sure all appropriate signatures are obtained, and compile the agreement and all other contractual documentation for the signature of the Director of OCT). Monitor complex research project budgets.Draft Investigator-Institution memorandum for each Clinical Trial Agreement based on approved template and Associate General Counsels instruction; upon approval, the Contract Specialist will be responsible for obtaining the execution of each memorandum from the appropriate Investigator(s). Liaise with investigators and research coordinators regarding contract issues pursuant to guidelines, supervisors instructions, and advice of OLC. Maintain and update status of all clinical trial agreements and other contracts in accordance with department procedures. Send correspondence and negotiate with counterparties. May assist with monitoring budget; alert supervisor of discrepancies and resolve within guidelines; assist with preparing related reports as requested.
To qualify you must have a Bachelor's Degree plus three or more years related experience in research or contracts office OR a Juris Doctorate. Excellent interpersonal, writing and verbal communication skills. Must be able to work and make decisions independently. Must be able to execute faithfully institutional guidelines and directions. Must be able to use PC for analysis and correspondence. Good proofreading skills with moderate to fast, accurate keyboarding abilities
Contract review and negotiation background strongly preferred. Juris Doctorate or Master's Degree preferred
