California State University, Fullerton's Office of Research and Sponsored Programs is searching for a Grants & Contracts Administrative Support Coordinator (Administrative Support Coordinator I). The Grants & Contracts Administrative Support Coordinator should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.
Under the general supervision of the Director and Assistant Director of the Office of Grants and Contracts (OGC), the Administrative Support Coordinator, working independently, will provide general administrative support for the OGC team in the preparation of project proposals for submission to federal and nonfederal funding agencies and in tracking submissions and awards.
This position will assist in collecting and compiling needed information for proposals submitted by the OGC, including completion of required forms and other documentation. This position will coordinate transmittal of award documentation for acceptance by the CSU Fullerton Auxiliary Services Corporation (ASC) and coordinate the maintenance of the department's database and webpage. The incumbent will assist the Director in the preparation of regular and special reports on proposal submissions and awards. This individual will monitor and coordinate OGC efforts in obtaining proposal approvals by campus units. This position will assist the Director in reviewing OGC's financial statements and maintaining ledgers and will serve as primary support to the Director and Assistant Director with processing of purchase orders, check requests and other documents. The position will coordinate travel arrangements and provide assistance and oversight of the logistical preparation of meetings, special events and workshops offered by the department. This position will train student workers in office procedures and suggest appropriate tools and training which may be needed to maintain or improve the services of the department. Other duties as assigned.
High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broad range of interpersonal contacts including those at a higher level and those sensitive in nature. Must be proficient in the use of Microsoft Suite (Access, PowerPoint, Word, Excel, and the Internet). Experience updating and maintaining a database and be knowledgeable about various database usage.
