In collaboration with clinical leadership, focuses on implementing, administering, and monitoring business operations that support the nursing process and its workforce.
Key Functions and Expected Performances:
Identifies need for capital equipment and repair of such. Verifies staffing model with Business Manager to ensure clinical efficacy.
Attend/participate in PCC, organizational and house-wide meetings and initiatives as the business representative for the unit (capital planning, budget planning, performance improvement meetings, enterprise resource planning).
Participates on departmental and interdepartmental committees to address system problems/issues and facilitate information exchange.
Verify for each staff or contracted personnel that, where relevant, education and training are consistent with applicable legal and regulatory requirements and hospital policy, that the individual is licensed, certified or registered, and that the individual's knowledge and experience are appropriate for the job assignment
Participates in annual learning needs assessment development
May supervise Administrative Assistant(s).
PLANNING and Organizing
Accountable for managing process and procurement for equipment/supplies: * Evaluate new products; maintain med supply PAR levels; * Serve as equipment and supply liaison; * Manage lease contracts in collaboration with Service Center/contracts office
Accountable for communicating and monitoring budget to ensure financial targets are met according to standard Vanderbilt operating procedures.
Completes variance reports and create justification spreadsheets for unique circumstances affecting the staffing budget (e.g. large amounts of OT in one department)
In collaboration with clinical leadership, prepares annual operating and capital budgets following established guidelines and using benchmark data.
Monitor expenses to established budget and staffing plan. Develops and implements action plans for variances to the established budget.
Prepare ad hoc financial and budget reports.
On behalf of clinical leadership, complete and oversee execution of capital and capacity planning. Analyzes utilization of assigned space and makes recommendations on utilization opportunities and/or space needs. Creates and plans for new offices and space; works with EVS (cleaning); ensure signage is correct and in place
Monitors throughput. Address barriers and identifies resources required to maintain patient flow that meet area volume goals. Outpatient/procedural: Measures and contributes to improvement in patient access, cycle times, and patient wait times.
Supervise clinical and business technology upgrades; grant security access
BUILDING RELATIONSHIPS and SERVICE
Assists clinical leadership in monitoring results for community survey action plan. Provides progress reports and submits the plan of correction.
QUALITY, COMPLIANCE, and SAFETY
Develop systems and processes that ensure and demonstrate staff compliance with regulatory standards * Monitor compliance * Round with surveyors and support services reps * Identify EOC needs and follow up EOC issues; * In collaboration with clinical leadership, review and revise disaster plan. * Provides data that helps measure readiness for external surveys * CATS oversight * Conduct med scanning compliance
Manage risk and quality initiatives: * Conduct quality process improvement; * Monitor first reports of injury; * In collaboration with quality and safety personnel, conduct event analysis and develop action plans; * Conduct CDRs discrepancy review
Create audit schedules, ensures audit completion, compiles data for review: * Manage audits; * Review audit results and establish an action plan * Manages policy review schedule
In collaboration with clinical leadership, ensure that defined quality standards are met within area of responsibility
Implements area specific policies and practice guidelines in accordance with VUMC policy and regulatory standards using standardized tools and instruments.
Monitors compliance with areas specific individual performance goals and competence
Communicate budget calendar and process.
Responsible for change management processes for staff around business and operations, including coordinating implementation of new policies.
Attend/participate in PCC meetings.
Accountable for utilizing Shared Governance framework that identifies and addresses issues, solves problems and evaluates outcomes.
