Under the direction of the Executive Director of Capital Planning and Space Management responsible for managing the fiscal responsibilities of the department, capital projects and other assigned university funded projects. Provides administrative assistance for the department. This position is temporarily funded and will be reviewed annually at the discretion of the University for continued funding.
Essential Functions • Maintains financial, budgeting and operating records. • Provides financial, budgeting and operating support to the Executive Director of Capital Planning and Space Management as well as Project Managers assigned to projects. • Coordinates with the Assistant Vice President for Facilities on financial reporting and accounting issues throughout the year and during the year-end closing process. • Reviews all program, capital outlay and capital land budgets and ensures accurate entry into the accounting system. • Determines the accuracy of all fiscal entries in the project tracking system and reconciles to accounting. • Responsible for year-end closing of capital project records and accurate reporting of capital transactions on year-end financial statements. • Organizes, facilitates, and/or represents the Executive Director in meetings, discussions and process improvements as requested. • Prepares and presents assigned reports by compiling, researching and analyzing data. • Prepares monthly summaries and reports by compiling information and reconciling various accounts and contract activities. • Develops and maintains effective physical and electronic recordkeeping systems that are in harmony with existing University-wide systems. • Prepares for audits by internal, external, and agency auditors by researching and analyzing the data in the University accounting and purchasing systems. • Assists in the preparation and construction of the department operating budget by gathering information, analyzing financial data, and compiling the required budget documents. • Coordinates with vendors, other University personnel and outside agency personnel in regard to fiscal transactions of the capital projects program and provides various accounting summary reports as needed. This specifically includes ensuring compliance of related activities with the university, state, and federal government policies/regulations. • Contributes to a positive work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds. • Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development seminars, and attending training and/or classes. • Contributes to the overall success of the department and Facilities by performing all other duties and responsibilities as assigned.
Minimum Qualifications • Bachelor's Degree from an accredited college or university. • At least three years prior experience in business management/accounting.
Preferred Qualifications • CPA and/or MBA. • At least three years prior experience working in the Design and Construction market. • Prior experience in accounting with large construction projects. • A high aptitude in accountancy, aptitude for detail, and a good understanding of computers and their functions in accounting are required. • Competency in creative and flexible problem solving with minimal supervision. • Competency in the day to day administration of budgets, strategic action plans, purchasing, and general administration of institutional systems. • Demonstrated success in developing and monitoring project plans and budget accountability with minimal supervision. • Mastery of oral, written and visual communication to include the ability to collaborate, negotiate, gain consensus, and influence stakeholders. • Ability to learn and apply University policies and procedures to ensure operational compliance and reliable judgment. • Ability to successfully complete a background check and financial credit check. • Team player who is able to work with all members of the project team. • Have an energetic, positive attitude with the ability to handle change frequently. • Ability to work under pressure in a fast-paced environment. • Ability to work independently. • Well organized, detail oriented, with ability to prioritize and multi-task. • Highly skilled in follow-up and project completion. • Proficient in the Microsoft Office Suite (Word, Excel, Power Point, Outlook). • Proficient in PDF mark-up software, such as Adobe. • Demonstrated commitment to high quality work and results. • Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion. • Self-starter with impeccable follow-through and attention to detail. • A can-do, proactive, hands-on, solution and results oriented approach. • Ability to proactively determine detailed needs, anticipate obstacles, plan for alternatives, and keep a team and management aware of changes. • Experience at working successfully both independently and in team-oriented, collaborative environments. • Experience effectively navigating competing and shifting priorities, demands and timelines through analytical and problem-solving capabilities. • Two years of college or university accounting or auditing experience. • Experience working on staff at a university of college. • Proficient in Microsoft Project. • Policy development and revision. • Comfortable working with and presenting to all levels of management in a highly ambiguous and rapidly changing environment while managing the negotiations of competing goals and expectations. • Comprehensive understanding of higher education operations and the interdependencies with the community and government bodies.
