The Milgard School of Business at UW Tacoma has an outstanding opportunity for a Program Operations Specialist.
The Program Operations Specialist provides project, operations, marketing and communications management for the Center for Business Analytics (CBA) in the Milgard School of Business at the University of Washington Tacoma. Reporting to the Director of the Center, the person in this position will regularly communicate with the Director and prioritize the tasks and goals of the Center. The Program Operations Specialist will design and execute projects that will interface with internal and external organizations for the purpose of creating networking, outreach, and development opportunities. The Program Operations Specialist will be the primary resource for creating and implementing procedures in the newly created Center for Business Analytics. As such, this position will retain substantial responsibility to ensure the success of the center's programs. The position regularly exercises independent judgment and discretion in work related to office operations, internal and external communications, community outreach, budgets and expenditures, and meeting and conference logistics.
Manage Daily Operations
Represent the CBA's day-to-day operations as determined by Center director and Milgard leadership.
Develop policies, processes, systems and timelines as required by Center to manage various cyclic business processes, requirements and services to ensure compliance with relevant State, and University regulations and policies; recommending adjustments/revisions as appropriate; communicate policies to internal and external constituents as needed.
Develop and oversee timelines and systems to facilitate completion of work in support of the Center and Milgard School leadership goals and objectives.
Serve as the primary resource of program resources and budgets to help discern highest and best use of resources to support Center goals, as determined by Center director and Milgard leadership.
Develop, implement, and monitor marketing plan and content (e.g. digital, social media and in print).
Interface with students, faculty, staff & community concerning Center resources, activities and collaboration possibilities.
Manage part time resources such as student workers as needed.
Plan and ensure that the facility, materials and staff are all in place at the time of the events (e.g. research, professional education, meetings).
Assist the center director in preparation of grant applications, proposals and pricing.
Work with Milgard and UW-Tacoma development offices on matters related to major gifts from companies.
Project Development and Management
With the guidance of the Director, design and manage outreach activities and events for professional education.
Proactively seek and pursue potential revenue generating research, consulting and education opportunities for the center.
Participate, as assigned, in regional and national meetings to gather and share information about center programs.
Events and Conference Projects: Research and secure facilities for events and conferences; create and execute project timelines; create necessary communications; secure necessary resources; interface with School leadership and staff, as required. Lead face-to-face and online events.
As directed by the Director, collect information and metrics from other schools of business across the country focused on analytics. Create reports and informational documents for gathered materials.
Create databases and spreadsheets to track work and data, and provide periodic budget reports and progress reports around current projects.
As directed by the Director, produce written project reports and other materials, highlighting information central to the activities, goals and objectives of the Center for Business Analytics.
Manage inventory and licenses for the Virtual Software Lab resources.
Manage Center Communications
Oversee and manage high-level Center communications to and from internal and external stakeholders.
Develop and manage Center's Content (e.g. in print, digital, social media and website).
Prioritize scheduling of communications and meetings to support Center goals and manage internal and external relationships.
Independently review and respond to inquiries concerning Center programs. Interface with the Director concerning confidential and high-level communications.
Attend key events to interact with internal and external constituents.
Organize & lead face-to-face and virtual (video teleconferencing) meetings as determined by the Center director.
Seek company leaders for, and organize Center executive council meeting as determined by the Center director.
| Bachelor's degree in Business Management, Information Systems, Communications or Related Field and three years administrative/project experience. |
Excellent public speaking and writing skills, networking abilities, strong time management, organization, and experience giving public presentations; ability to multi-task, work independently, networking; strong interpersonal skills.
Demonstrated ability to work independently and work a flexible schedule with some evening and/or weekend work. Ability to work collaboratively in a dynamic, evolving environment.
Experience using computer programs such as MS Office Word, Access, Excel, and PowerPoint. Must be comfortable with data and have an intermediate level proficiency with computer technology.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Event planning & professional education program development experience.
CONDITIONS OF EMPLOYMENT:
This position requires a flexible schedule and the ability to work occasional evenings and weekends to meet deadlines or support program events. Occasional travel with the State of Washington and /or other U.S. States could be required.
