The Administrative Assistant [AA] in the Bouve College Dean's Office, reporting directly to the Assistant Dean for Administrative Affairs, will provide a high level of administrative office support for the Dean and Associate/Assistant Deans. This position is a 40-hour per week position. Typical responsibilities will include monitoring and maintaining college/university calendars ensuring they are up-to-date, including any announcements/reminders that need to be distributed; monitoring and updating the college's home web page; and providing support (rooms, food, materials, announcements, etc.) for meetings, conferences and events sponsored by the Dean's Office among other duties.
In collaboration with the other administrative support to the Dean, s/he will review the Dean's daily schedule to ensure that all necessary files and materials needed are available. S/he will assist as needed in preparing a variety of materials including reports, spreadsheets, presentations, memos, meeting minutes and other correspondence.
The AA is responsible for office coverage including telephone coverage, Office of the Dean email mailbox, front desk receptionist responsibilities, and the hiring, training and supervision of work-study students for the office. Demonstrating professional composure and poise, s/he will greet all visitors to the Dean's Office, which may include senior level university administrators and/or donors, making referrals as appropriate and trouble-shooting any issues that may arise.
The AA will organize, inventory and order office supplies and monitor/maintain office suite and equipment. Projects that the AA will be responsible for include assistance with the on-boarding and off-boarding procedures and tasks for faculty and staff; handling contracts under the direction of the Associate Dean for Administration & Finance; and tracking and distribution of the voucher process for the college under the direction of the Assistant Dean for Administrative Affairs. Other projects may be assigned as necessary.
S/he will work as part of a team with other members of the Dean's Office to ensure a smooth flow of information and that deadlines are met. This position interfaces with faculty to coordinate requests for laptop, projector, conference phone and other Dean's Office equipment, as well as work orders for the Bouve offices/labs in Behrakis.
A completed or in progress Bachelors Degree is required and a minimum of three years of administrative support experience with direct knowledge of and facility with Microsoft Word, Excel, Access and PowerPoint. The successful candidate must demonstrate ability to maintain composure while working in a fast-paced, high energy environment. Candidate must have familiarity with content management systems for the web and will demonstrate excellent typing/proofreading skills. This role will involve managing many diverse tasks and meeting deadlines as well as working with confidential material. Candidate must have demonstrated ability for excellent organizational, interpersonal and communication (oral and written) skills along with ability to anticipate the on-going needs of the office and plan accordingly.
