Administrative support to two principals (Travel arrangements, expense reports, Outlook calendar)
Manages the company’s lobby area. Greets and directs all visitors.
Screens incoming phone calls on a limited basis.
Sorts and distributes incoming and outgoing mail. Operates manual and electronic mailing equipment. Interacts with courier companies. Create daily shipments via FedEx, OnTrac and UPS.
Maintains the conference rooms – provides set up and dismantles meetings. Maintains the conference room sign-out sheets. Maintains the phone and computer equipment in conference rooms. Set up coffee, tea and water for clients or project meetings.
Organize food deliveries periodically as required for in-house events and/or client meetings
Creates, processes and tracks all supply orders. Maintains records of orders and inventory and follows up with vendors on shipment and delivery. This includes all supplies for printers, plotter, and copiers. As well as office supplies, architecture supplies, and kitchen supplies.
Imaging/scanning specialist. Keeps the printer, large scale and small scale printer and copiers maintained and stocked with paper. Assists staff in printing and scanning as well as sending support tickets for any problems with equipment.
Liaisons with the landlord and building staff coordinating general maintenance services. Oversees installation of equipment (plotters and printers), obtain certificate of liability insurance from companies. Manages office repairs, for example fixing doors, lights, paint touch ups.
Emergency Floor Monitor for the 2nd floor – works with other floor manages for emergency evacuation. Meets with landlord and fire department on the quarterly basis.
Tracks and checks all RFP sites on a daily basis. Assist the marketing coordinator and marketing manager with marketing duties – QA/QC for marketing proposals. Maintains consultant files for Southern California region. Email and call consultants with qualification requests for proposals and maintains all correspondence.
Strong written and verbal communications skills
Proficient in Newforma or other Document Management Software preferred
Proficient in Microsoft Office
