Student Business Services (SBS) is responsible for UCSC's receivables, sundry debt collections and credit balance refunding. The office consists of four major areas: Customer Service, which handles all student interactions, disbursements, and refunds; Receivables and Loans, which handles collections on past due accounts and manages student loans; Analysts which maintain the UCSC eBill/ePay system, general IT support for the office, and handle reporting; and the Main Cashier's Office which accepts student payments, collects sub-cashier deposits, and deposits to the bank. The Academic Information System (AIS) is the custodian of many types of information, including that which is confidential, proprietary and private. Annually, the SBS office collects approximately: $42 million in deposits from the 150 UCSC sub-cashier stations and processes approximately 76,000 transactions posted to AIS, representing over $163 million in general payments. Additionally, SBS handles the disbursement of $93 million in financial aid disbursements and $70 million in refunds either mailed or directly deposited to the student's bank account.
Under the general supervision of the Student Business Services (SBS) Associate Director, this position will independently perform a variety of duties for the SBS office. Providing direct administrative support, the incumbent will work closely with SBS management and act as backup and occasional support personnel for two Sr. Administrative Analysts during peak business cycles, vacations, or system upgrades. Incumbent is expected to assist Sr. Administrative Analysts in functional testing, test plan creation, and test modification and execution as needed. Incumbent will assist with projects and reporting requests associated within the Cashier's Office and SBS.
This position requires advanced expertise in both the Academic Information System (AIS) and Infoview (reporting). AIS is a web based student administration system developed by PeopleSoft and modified to meet office and campus objectives. It is an integrated system and is the backbone of processing done in SBS, Financial Aid, Admissions, and Registrar's Office. Duties include, working with end users to develop reports, specifications and to understand how existing programs work; working with the Main Cashier's Office staff, the SBS Office staff, and additional campus units to analyze the impact of vendor upgrades and other enhancements.
The incumbent is expected to have strong communication skills, enjoy explaining things to others, a problem solver who enjoys a challenge. Incumbent should also like thinking about the big picture and not just about Student Business Services or Student Financial/Cashiering, but also about how SBS interacts with larger forces of the campus. This position will be one of the essential links between technology and the functional staff who may not understand current processes.
Bachelor's degree in finance, business or public administration or a related field and/or equivalent combination of experience and training.
Thorough knowledge of financial analysis and reporting techniques.
Advanced knowledge of federal and state collection laws, regulations, and polices as they relate to the collection of debt.
Demonstrated ability to read, interpret, and apply complex federal, state, and University regulations and policies.
Knowledge of standard accounting principles, practices and terminology.
