With approximately 215 active faculty, 174 Residents and Fellows and 56 staff in clinical care, research and education, the UW School of Medicine Department of Anesthesiology & Pain Medicine (A & PM) is a large Department within UW Medicine. The Department of Anesthesiology and Pain Medicine currently has an outstanding opportunity for a ANESTHESIOLOGY MANAGER, HMC & CRITICAL CARE.
The purpose of this position is to provide operational and administrative management of the Harborview and Critical Care Divisions of the Department of Anesthesiology & Pain Medicine. This individual will be a part of the Management Team and will report to the Director for Finance and Administration, with a delegated/matrixed reporting relationship to the Assistant Director of Finance & Clinical Programs. The major components of this position are:
1. Management of Divisions' Operations and Budgets: 50%
2. Management of Divisions' Faculty HR: 20%
3. Management of Divisions' Staff: 20%
4. Special project management as requested by Assistant Director or Director: 10%
HMC is unique in that it is the only Level 1 trauma center in 4 states: Washington, Idaho, Montana, and Alaska. HMC receives tertiary transfers by helicopter, airlift Northwest fixed wing aircrafts, and ground transports. Internationally, HMC has achieved recognition for trauma management, orthopedics, burn surgery, neurotrauma surgery, neurovascular surgery, and paramedic services. HMC has over 400 beds, of which 100 beds are intensive care unit beds, distributed among the Neuro Intensive Care Unit, the Trauma/Surgical Intensive Care Unit, the Burn Intensive Care Unit, the Pediatric Intensive Care Unit, the Medical intensive Care Unit, and the Coronary Care Unit.
The divisions of HMC and Critical Care have 35 regular faculty with anticipated growth. There are 2 administrative staff and one part-time research staff. This individual will not directly manage the research programs, but will be a point of contact and information for the research faculty and provide information and assistance to the relevant Department infrastructure.
Management of Divisions' Operations & Budgets: 50%
The individual in this position will manage the day to day operations of the HMC and Critical Care Divisions of APM and will oversee budgets and manage financials for these Divisions.
Prepare first drafts of annual division budgets. Must understand sources and uses of funds flowing into and out of operational areas.
Closely monitor budget reports; ensuring budgets are spent according to plan and recommend changes to align budgets with reality;
Make salary distribution decisions and prepare distribution instructions.
Grow understanding and expertise in faculty clinical revenue billing
Work with Assistant Director and Director on preparation of annual clinical commitments; communicate to faculty.
Monitor and manage clinical commitments for all faculty within each division and adjust as necessary; faculty should look at this individual as a resource on their clinical commitments.
Track each faculty's clinical commitment progress and report to faculty and the business office each month. Work closely with staff in the department's UW offices to establish incentive pay every six months based on the monthly data collected.
Understand and effectively use software tools and programs for financial monitoring and reporting.
Provide final approval for all expenditures on Divisions' and other assigned budgets.
Serve as project Lead on the SpinFusion momentia Scheduling Software site merger
Work Directly with Division Managers at UWMC, Pain Medicine, Resident Education, and CRNAs to create a unified system.
Responsible for preparation of Monthly Operating Room Schedule Using SpinFusion's Momentia Scheduling Software
Responsible for coordinating, producing, implementing, and maintaining the monthly and weekly operating room staffing schedules for all Anesthesiology faculty, residents, medical students, fellows and CRNAs at Harborview, ensuring daily around-the-clock coverage in the ORs and any other anesthesia-related areas at Harborview;
Make changes and amendments to the OR schedule as they arise and provide notification of changes in accordance with procedures established by the Chief of Anesthesia at Harborview
Make and/or coordinate changes and amendments to the Critical Care rotations as they arise and provide notification of changes to relevant faculty and other department staff (i.e. Pulmonary, CT, Neuro)
Manage faculty and resident vacation requests in conjunction with the schedule to insure appropriate OR and critical care coverage at all times.
Coordinate and handle all aspects of relocations and small interior moves, with oversight by the chief of service and the designated faculty office-space coordinator.
Management of Divisions' Faculty and Faculty HR: 20%:
Division Manager holds responsibility for faculty questions, concerns, activity within his/her
divisions. Either solves directly or escalates appropriately.
Primary point of contact for HMC and Critical Care faculty with questions and concerns;
Liaison for Department central personnel for all Division Faculty within HMC and Critical Care
Work with Chiefs and central Faculty Affairs on recruitment of new faculty
Work with Department Faculty Affairs to ensure appropriate licensing, credentialing and on-
boarding of faculty;
Work with Department Faculty Affairs on Faculty leave requests and issues
Work with Department Faculty Affairs and Department Assistant Director on Faculty compensation
issues, ensuring coordinating of increases in faculty compensation happen in a timely and appropriate
Work with Faculty HR on annual completion of Faculty Reviews;
Ensures faculty compliance with mandatory trainings and reporting requirements
Liaison with education/fellowship personnel; ensures fellows are brought on board in a timely
manner and acts as resource and liaison to the Fellowship coordinator.
With Chiefs, arrange and manage Division Faculty meetings, including agenda preparation, follow-
up on action items and production of faculty meeting summaries
Oversee management of Chiefs' administrative needs; ensuring calendaring, travel, meetings and
professional commitments are executed appropriately (by designated support staff);
Management of Divisions'Staff: 20%:
Responsible for recruitment, hiring, on-boarding, training and managing 2.0 Division staff,
o Program Coordinator (primarily working with ACGME Fellowship in Neuro-critical Care);
o 1.0 Admin Coordinator (provides support for Chief of HMC and back-up support for Program
Liaison with Department HR on all HR activities, including hiring, annual performance reviews
and any performance management issue;
Supervise and ensure compliance with all UW and Department guidelines and regulations
Provide for on-going training for positions as necessary;
Provide excellent role-model for Department values and mission; work to build a positive team
within the Division
Provide opportunities for growth as appropriate; encourage improvement activities;
Role-model professional and team behavior. Encourage employee recognition within the Division
Promote strong links with Department by encouraging attendance at staff meetings and other
Department-led activities and events;
Management of Special Projects: 10%:
Ensure internal website is current and provides a vibrant picture of the Division
Oversee and provide guidance for Workshops, Grand Rounds, Seminars and other Divisional
Work to develop Divisional SOPs and guidelines;
Work with Department Assistant Director or others on special department projects as requested.
Identify departmental process improvements and work with the chief, the human resources manager,
and the Assistant Director to implement.
