Job Description Summary:
The Office of Medical Education (OME) in the School of Medicine and Health Sciences (SMHS) at the George Washington University is currently seeking an Administrative Supervisor for the Office of Medical Education. The Administrative Supervisor establishes procedures and manages the day-to-day course support activities of the OME in accordance with established policy guidelines and overall needs of the office.
The Administrative Supervisor also, oversees OME course support procurement, manages administrative activities and establishes procedures related to course support within the SMHS Medical Doctorate (MD) Program.
oPlans and coordinates procurement of office/instructional supplies and office equipment. Holds an office purchase cardRecruits, trains and supervises OME course support staff.
oDevelops office budget with Assistant Administration & Operations Dean and Director
oDevelops and enforces systems, policies, procedures, and productivity standards.
Manages staff work hours and coverage issues.
Manages OME facilities and resources.
Oversees course support staff from OME and SMHS basic science departments related to the support of students, teaching faculty, and theme/course directors within the MD program.
oDevelops, outlines, and enforces systems, policies, procedures, and productivity standards with relation to supporting students and faculty within the MD program.
Develops and oversees the organization and management of integrated course Blackboard sites.
oPlans, coordinates, and oversees Blackboard course layout and resource organization.
oDevelops and oversees procedures for collecting session materials from faculty.
oTrains users within MD program Blackboard courses.
Manages course assessment proctoring, assessment review proctoring, and student self/peer evaluations
oPlans, coordinates, and oversees administrative support of course assessments and course assessment reviews.
oDevelops and oversees procedures for distributing and collecting student evaluations of self/peers/mentors within the MD program.
Manages course gradebook and grade records.
oMaintains course Blackboard student gradebook.
oWorks with course and theme directors to compile course final grades.
oCreates student "dashboards" for PD mentor meetings.
oPlans and oversees attendance taking procedures for mandatory sessions, in accordance with designated attendance policies.
oOversees coordination and implementation of make-up procedures, in accordance with designated make-up policies.
Serves as liaison with internal offices to secure classrooms space and other resources related to courses within the MD program.
oOversees reservation of classroom space in accordance with curricular calendar and classroom space needs.
oWorks with Ross Hall Facilities, CASS, and University IT to improve systems and develop procedures
oAttends monthly curricular subcommittee meetings related to the MD program.
Organizes and coordinates administrative support, including organizing agenda, recording meeting minutes, and corresponding with subcommittee members, for the subcommittee within the MD program.
Provides an active leadership role in meetings and focus groups related to course support within the MD curriculum.
Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Supervise administrative support staff to include managing curricular implementation task in the MD program's clinical skills course and integrated curriculum. Maintains staff work hours, overtime monitoring, and coverage issues for the office as a whole.,
Establish procedures and manage day-to-day administrative and financial activities of the School of Medicine and Health Sciences Office Medical Education for the MD Program in accordance with established policy guidelines and overall needs of the office. Assist in the development of the office budgets.,
Serve as the primary liaison with Human Resources in coordinating recruitment, employment, and other personnel actions for the Office of Medical Education.,
Assess administrative needs and appropriateness of staffing levels for the integrated MD curriculum. Coordinate with non-OME administrative staff that also supports the curriculum. When needed, assist with curricular implementation tasks of the MD program's clinical skills course and integrated curriculum.,
Serve as the primary administrative liaison with internal and external vendors, offices, or organizations providing resources for the OME or requesting information regarding the MD Program Curriculum.,
Perform all other duties as assigned.
Preferred Qualifications:Experience in higher education administration or curriculum administration, development, and implementation preferred.
Proficient computer skills and in-depth knowledge of MS Office Suite
Excellent communication skills (verbal and written)
Prior supervisory experience.
Prior experience handling department/unit procurement.
High school diploma/GED or equivalent combination of training and experience, is necessary plus 4 years of relevant experience.
