The Cardiology Division has 51 full-time clinical faculty at three hospitals: The University of Washington Medical Center, Harborview Medical Center and the Veterans Affairs Puget Sound Health Care System. The faculty is known for excellence in patient care, teaching, and research. In fact, 10 of the 12 cardiologists listed by Seattle Magazine in 2002 as among "Seattle's Best Doctors" are full-time University of Washington faculty. Our priority is to provide outstanding care while meeting highest expectations for service to patients and referring physicians.
The Division of Cardiology has an outstanding opportunity for a Program Coordinator for the Interventional Cardiology Program (ICARD). The purpose of this position is to provide administrative and financial support to the ICARD Program. The ICARD Program is composed of the Section Head, the ICARD Fellowship Director, 5 additional faculty, and 2 ARNPs. The Program Coordinator reports to the Section Head of the ICARD Program and the Manager of Program Operations.
This position will maintain dynamic communication with principal investigators, research, clinic, fiscal and administrative staff, steering committee members, the Regional Heart Center, numerous university departments, industry sponsors and federal agencies. The Program Coordinator is an active member of the Cardiology Administrative Team.
Work of this position is evaluated in terms of adherence to program goals, budgetary limitations, and compliance with laws, regulation and general institutional policies.
The Department of Medicine is committed to the goals and mission of the School of Medicine and the University. This position supports the teaching and research activities by assisting the Division of Cardiology.

Programmatic Support (ICARD Program) for cardiology faculty and serves as the liaison with external customers and staff
Record and monitor faculty spending on program budgets, assure compliance with State, UW, Divisional, and Programmatic spending guidelines and regulations.
Assist Budget Analysts with the collection and preparation of faculty biosketchs and other supporting documents for grant submissions. Serve as the liaison between division PIs and Budget Analysts in the preparation and submission of grant and contract documents for research.
Coordinate and attend meetings, conferences and events as the program representative.
Inform physicians about applicable regulations, existing policies and ways to improve compliance within the program and UWMC.
Assist with the coordination and execution of faculty recruitment and fellowship interviews.
Arrange faculty and guest itineraries and track reimbursements.
Monitor faculty membership, medical and DEA license renewal deadlines; processing renewals prior to deadlines.
Maintain CV, Biosketches, and Other Support Documentation.
Proofread and submit grant and research manuscripts, abstracts, and review articles for faculty.
Perform complex call scheduling and calendaring.
Create drafts of letters, memos, forms etc. for review.
Maintains records and archived documents as required.
Process ARIBA reimbursements, invoice payments, and purchases.
Meet with the faculty and Budget Analysts on a regularly scheduled basis to review individual PI financial portfolios.
Assist with special reporting as requested.
Divisional Support as assigned
Collaboratively document and organize information in electronic and hardcopy format to facilitate workflow of administrative, fiscal and compliance management.
Analyze and improve program workflow to facilitate effective and efficient operations.
Serve as an essential member of the Division Faculty Support Team, attending team meetings, contributing to Division policies and procedures, operational decision making, and serving as a peer resource.
Assume the duties of the Program Coordinator for the Cardiac Care Unit (CCU) when absent.
Other duties as assigned.
