The job of the Data Entry Clerk is to enter data from various source documents such as registrations and purchase orders into the appropriate data base as required by courses, workshops or conferences. Additionally, this individual will generate invoices and run reports as requested by the various departments within the organization. Job Duties include:
Review source documents for accuracy of information and, where necessary, return to specific department for corrections.
Combine and rearrange/update data from source documents where required
Follow policies and procedures as created by The Center’s Database Team to ensure timely and accurate processing of registrations into Raisers Edge or similar (Access) database
Ensure the quick and efficient creation of invoices for workshops and conferences from purchase orders that include completed registration forms, mail invoices, and track payments as they are received for those invoices
Process credit card payments through virtual terminal following established policies and procedures.
Prepare departmental deposits for payments received in-house following established policies and procedures.
Scan documents into document management systems or databases when necessary
Review completed work for accuracy
Provide completed information to department for storage into files and setup for conferences.
Respond to requests for information from various departments and business office by running informational queries and reports
Comply with all data integrity procedures and security policies as they apply.
For conference and workshop information, prepare semi-monthly report on individual events in order to reconcile the event within 60 days.
Follow up on open accounts receivable for conferences and workshops on a weekly basis to assist with reconciliation.
2 years of Raiser’s Edge by Blackbaud database administration experience.
Minimum of three years related experience.
Excellent computer skills, including a high level of proficiency in Raiser’s Edge, Crystal Reporting, Microsoft Excel, Word, and Access.
Demonstration of proficient writing and verbal communication skills
Strong customer service skills and can-do attitude.
Experience working at a nonprofit preferred.
Demonstrated proficiency in organizational skills, prioritizing and managing multiple detailed tasks
