RECEPTIONIST/ADMINISTRATIVE ASSISTANT I, Facilities-Infrastructure Business Operations, to perform reception and clerical/administrative duties in a busy, multi-use setting. Responsibilities include answering the telephone and taking messages and serving as back up for the director and senior administrative phone lines; inventorying and stocking kitchen items and acting as the point-of-contact for coffee service company; printing and posting daily schedules for all conference rooms; providing administrative support for senior leadership on an as-needed basis, including purchasing, scheduling meetings, calendar support, and coordination of meeting materials and equipment; providing basic financial assistance to the finance and accounting group; assisting with communications, both internally and within the MIT community; ensuring conference rooms have all the equipment necessary for meetings and are clean and tidy at the end of each day; signing for all incoming packages; notifying appropriate staff of incoming visitors/catering deliveries; and other miscellaneous duties as assigned.
REQUIRED: a high school diploma; a minimum of two years' professional administrative support experience; proficiency with Microsoft Office (including Word, Access, Excel, PowerPoint, and Outlook); proficiency with typical office equipment (e.g., multiphone unit, facsimile machines, copiers, etc.); demonstrated experience organizing work to meet multiple changing priorities; collaborative, team-oriented approach towards responsibilities; customer understanding, accountability, and client service- and action-orientation; ability to influence customers and team members, continuously improve service, and function effectively in a fast-paced office during stressful situations; and attention to detail. Experience with MIT financial system (SAP) highly desirable, but a willingness to learn is essential. A background in and an understanding of the activities of a facilities office preferred.
