First contact for all agency clients and visitors (greet, answer questions, provide informational materials, inform staff of client arrivals, etc.).
Appropriately respond to and direct incoming phone calls, take messages, answer questions, provide directions, and make appointment reminder and/or cancellation calls.
Supervise and interact with children in the waiting room, anticipating their needs and using problem-solving skills to respond to difficult behaviors when required.
Order cab transportation for designated clients as requested (fax and confirm cab requests, manage problems that may arise with cab company).
Maintain the general appearance of the waiting room or reception area.
Gather information from caretakers of clients as requested by Executive Director or other supervisory staff members (satisfaction surveys, etc.)
Receive and distribute agency mail and packages.
Assist with outgoing mailings (print labels, stuff envelopes, copy documents, etc.).
Maintain front desk calendar and staff emergency contact list.
Assist new staff members, students and volunteers with orientation to general office procedures as directed.
Perform related duties as assigned.
A high school diploma and two years of responsible office experience is necessary. Directly related education or training may be substituted for experience.
Professional appearance and demeanor required, as well as ability to maintain strict confidentiality.
Good decision-making ability concerning visitors in order to maintain secure agency environment for clients.
Good telephone, computer and typing skills (minimum 45 wpm with basic to intermediate knowledge of Microsoft Word, Excel, Outlook).
Experience working with children desired.
Ability to establish and maintain effective relationships with visitors, vendors, campus personnel and other persons contacted in the course of the work is necessary.
