FINANCIAL AND ADMINISTRATIVE ASSISTANT, Office of the Dean for Graduate Education (ODGE), to perform financial and administrative duties in support of the administrative officer (AO). Responsibilities include monitoring account activity, performing monthly reconciliations, and communicating and resolving discrepancies; processing financial transactions, student billing, and cash deposits; performing P-card charge verifications; serving as backup to AO on all financial matters and assisting in negotiating service contracts; creating, coordinating, and maintaining internal service requests with facilities and assisting with maintenance and repair of office equipment, alarms, and telephones; coordinating office moves; assisting with external fellowship appointments and academic allowance reimbursements for student fellows and with reconciling monthly fellowship stipend charges and tuition/health insurance charges; assisting with event planning; processing appointments and weekly timesheets for student workers; coordinating card and key access; serving as parking coordinator; working as part of a team providing main office coverage; monitoring/responding to email inquiries; and handling other duties/special projects as requested. May be asked to provide financial coverage and assistance to other areas.
REQUIRED: minimum of three years' financial and program coordination experience in a team-oriented environment; excellent financial, organizational and problem solving skills; attention to details; proven ability to work with minimal supervision and willingness to assume responsibility; ability to communicate effectively with all levels of faculty, staff, and students; excellent analytical and project management skills; ability to set priorities, juggle competing demands and function in a busy environment with frequent interruptions; discretion with confidential information; strong customer service orientation; and proficiency with Microsoft Office. Knowledge of and experience with SAP and MIT's financial systems and processes preferred; as is an associate's/bachelor's degree in finance or accounting. Job #14297-5
