Purpose of Position:
The Assistant Vice President for Organizational Excellence and Chief of Staff reports directly to the Vice President for Administration. The position serves as a principal advisor to the Vice President, providing analytical support and leadership on a variety of projects of importance to Administration and the campus community. Essential duties include but are not limited to supporting the Vice President in all areas relating to University activities; representing the Vice President; leading a continuous improvement and employee engagement program resulting in demonstrated improvement in efficiency, engagement and effectiveness; facilitating information and communication with departments within Administration; and coordinating the Vice President's efforts with university and local community partners. The position must have the ability to articulate the vision, mission, and values of Administration, and a comprehensive understanding of university and administrative policies. The position maintains confidentiality of privileged information, and performs a wide range of duties that require tact, sensitivity, independent judgment, diplomacy, discretion, and flexibility. In addition, responsibilities include oversight for high priority projects supporting the Vice President's agenda to ensure progress based objectives, established milestones, and measurement criteria.
Principal Functions Serve as extension of the Vice President for Administration
Manage high priority projects
Represent the Vice President at meetings
Establish and oversee an organizational excellence program including supervisory responsibility for a small team charged with communication, change management, employee engagement, process improvement, assessment and project management oversight and training
Provide higher level problem solving
Correspond and communicate on behalf of the Vice President
Facilitate communication with Deans, Vice Presidents, University leaders, and local community partners
Manage information and prioritize tasks that require the time and attention of the Vice President
Serve as a liaison with other departments and functions
Partner with other Assistant Vice Presidents in Administration as a member of the Division's senior leadership team
Communication Synthesize comprehensive and complex information into an executive summary format for meetings, emerging issues, and responses for various constituencies and strategic partners
Prepare reports, position papers, and presentations on behalf of the Vice President
Prepare communications on behalf of the Vice President
Administration and Coordination Facilitate internal and external committee work
Serve on committees
Monitor and assists in the execution of strategic plans
Related duties as assigned
Minimum educational requirements include a Bachelor's degree in business, communications, public relations, public administration, higher education, or a related field. A successful candidate will have a minimum of ten years of progressive administrative or management experience, preferably in a higher education environment. Excellent oral and written communication, with demonstrated competencies for interpersonal communication. Demonstrated evidence of judgment, leadership, high level problem-solving skills, change management and strategic planning. Broad cultural competence and understanding of the need for inclusiveness and accessibility.
Master's degree in business, communications, public relations, public administration, higher education, or a related field. Organizational excellence program experience including: strategic planning, project management, staff development, employee engagement, performance assessment, change management, continuous improvement, Lean Six Sigma, process re-engineering, service excellence and quality improvement.
