Advertised Summary Job Description: Reporting to the Senior Director of CaseWorks, the Program Manager is responsible for managing the day-to-day operations of the office and is the contact person for the internal and external constituents of the CaseWorks program. Responsibilities include maintaining a sales database, calculating royalties, managing the royalty payment process, maintaining file records and providing administrative support to the officers of the program.
1.Responsible for all activities related to case distribution, case sales, and royalty payout. Manages CaseWorks case and sales database in Microsoft Access. This includes maintaining and updating statistics on case production and usage through use of forms and SQL queries. 2.Reviews sales reports from all distributors (currently seven) and works with distributors to understand and correct sales data. Maintains sales records and reconciles to reporting from distribution partners. Uploads sales data to Access database. 3.Utilizes database in conjunction with MetaComet software to calculate case author royalties and prepare statements. Sends statements to authors and maintains accurate address information. Monitors author check activity and liaises with MetaComet staff to send yearly tax information to authors. 4.Verifies monthly MetaComet bank statement and reconciles with CaseWorks account records. Tracks MetaComet charges and invoices to ensure accuracy of financial information. 5.Acts as liaison with distributors. Provides files for and maintains up to date records of CaseWorks cases for external case distributors through FTP uploads and updates, as needed. 6.Manages final production of cases and related teaching materials using Microsoft Excel, Word, PowerPoint, Adobe, and Photoshop as appropriate. Formats cases according to Columbia Business School brand template to maintain consistency. Uploads cases to website and assists division coordinators and faculty in licensing or obtaining cases. 7.Handles permissions for and fulfillment of all external case requests as needed. Assists customers with order and invoicing process. 8.Works with the ITG department to define functionality of website enhancements. Project manages all enhancement requests by assisting in defining website deliverables and quality assurance testing. 9.Manage and approve faculty account requests, and license requests. Troubleshoots and resolves all issues with site and for users, both internal and external. Create manual pdf watermark and security in special instances. 10.Compiles and sends communications to faculty and staff of Columbia Business School concerning CaseWorks and obtaining cases. Prepares CaseWorks author agreements for faculty approval and signature and maintains records. 11.Handles in-person, telephone, and electronic mail inquiries with internal and external constituents as well as processing invoices and ordering supplies. Responsible for vendor contracting process, maintaining vendor records, and invoice tracking and reconciliation. 12.Supports the academic and administrative officers in their functions, works on additional projects as assigned and shares in the responsibilities of other staff as a flexible team player.
General Minimum Qualifications: Bachelor's degree and/or its equivalent required. 2-4 years related experience required. Business/finance/accounting major preferred.
Additional Specific Minimum Qualifications: Excellent written and oral communication skills required. Strong organizational skills and attention to detail required. Expert in Microsoft Word, Excel and Access needed. Must be able to interact effectively with University administration, faculty, and external constituents required. Ability to work independently and to prioritize and manage multiple tasks required.
Preferred Qualifications: Experience with basic HTML coding and Web content management systems especially Drupal desired. Knowledge of MetaComet software preferred. Financial management and analysis experience preferred. Finance or accounting experience strongly preferred. Experience with large datasets desired.
