OFFICE OF THE PRESIDENT
This position provides staff support and assistance as directed by the Office of the President and will report directly to the Executive Coordinator to the President and Assistant Vice President for Institutional Effectiveness. Contribute to the efficient operations of the Office of the President/Institutional Effectiveness and assume responsibility for other tasks as assigned.
Essential Duties and Responsibilities:
Manage the clerical functions of the Office of the President/Institutional Effectiveness Manage and direct all calls for the Office of the President and the Institutional Effectiveness Department in a professional manner Manage the President’s daily calendar Manage the calendar for the AVP for Institutional Effectiveness Coordinate all meetings to ensure maximum participation through follow-up by sending out notices and confirming attendance for required attendees Provide staff support for all receptions/meetings on behalf of the President by creating invitations, collecting RSVPs, ordering food and logistics regarding the meeting space and/or location Provide staff support, when needed regarding travel plans for the President Process all SchoolDude requests for the Office of the President/Institutional Effectiveness relative to the office, meetings, receptions, etc. Handle all mail correspondence on behalf of the President accurately Process all memberships and other essential expenditures utilizing our E-Pro system and maintain a database of all expenses processed Provide staff support, when needed through data entry and research Maintain essential records and files Maintain the supplies for the Office of the President and Institutional Effectiveness and order supplies when necessary Coordinate the day to day functions of the Student Assistant High degree of discretion and demonstrated ability to handle confidential information Other duties as assigned
Knowledge, Skills and Abilities:
Knowledge of basic computer skills: Word, Excel, Access, PowerPoint, Internet Research Excellent interpersonal relationship skills Self-motivated, team player excited to work in a face-paced environment Ability to manage multiple projects and follow through in a timely manner Attention to detail and consistent accuracy
Three years of experience in an office environment performing a variety of secretarial and administrative clerical work.
Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science may be substituted for (1) year of the experience indicated above.
