The Department of Pharmacy has an outstanding opportunity for a Program Operations Specialist. This person is responsible for managing all phases of the PhD and Masters Program in Pharmaceutical Outcomes Research & Policy Program (PORPP).
Graduate Program Management: process is ongoing throughout the year and includes: preparation and dissemination of application and information, responding to inquiries from prospective applicants, collecting applications and managing the admissions process, orientation of new students, coordination of Graduate Student Appointments, monitoring student progress, coordinating/administering preliminary exams, and coordination of our programs participation in the graduation ceremony. Act as a resource for faculty, students and staff for UW Graduate School and PORPP policies, processes and procedures. Serve on all departmental administrative committees (Program Oversight, Curriculum, Admissions, Preliminary Exam,) attend quarterly meetings of campus Graduate Program Coordinators, and other campus-wide meetings and workshops regarding Graduate Programs, arrange yearly academic year kick-off event and other social events. Review and revise the PORPP Graduate Student Handbook each year with updates to curriculum, processes, deadlines, and other pertinent information that may change from year to year. Maintain contact with alumni for recruiting and programming support.
RA&TA Appointment Management: Advise all new RA/TA appointees and their faculty advisers on policy and procedure; including hiring forms, appointment letters, union contract information and requirements, benefit information and deadlines, payroll processing and advertising of available positions.
Provide close and frequent collaboration with International Students Services Office (ISS) to support the growing population of international students, which includes support for the visa and I-20 process, housing, English proficiency requirements, work limitations, orientation, and successful adjustment to graduate school in the US.
Applications & Admissions Processing: Provide application documents in an organized manner in PDF form on a secure server, where all admissions committee members may view them. All of our applications are in electronic format, and come through the MyGrad Program service.
Produce an annual PORPP Report that is disseminated to the Corporate Advisory Board members, and PORPP Alumni each Fall.
Act as Administrative Assistant to the Director of PORPP, currently Professor Anirban Basu, arranging travel, appointments and meetings as needed on a daily basis.
Arrange travel and process travel expense reports for PORPP graduate students, post-docs and faculty.
Fiscal Responsibilities: Responsible for writing checks for research subjects for departmental research projects. Maintain checkbook and handle University revolving fund reimbursement procedures.
Review and reconcile ProCard and CTA transactions for purchases and travel arrangements made for faculty, department and staff.
Act as back-up for payroll coordinator and fiscal specialist.
Create and implement processes to inform and engage PORPP alumni using social media including Facebook, Twitter, and LinkedIn.
