Advertised Summary Job Description: Reporting to the directly to DAAF and supporting for the Department of Sociology by handling daily activities of the front office: interacting extensively with faculty, student, staff and visitors; providing information and directing calls and callers as appropriate; conveying routine information about Sociology program and responding to questions sent firstname.lastname@example.org. The incumbent assists faculty with photocopying for the department's curriculum; receives and logs in packages, distributes departmental incoming/outgoing mail as well as logs in and distributes payroll checks; operates the departmental fax machine, photocopy machines, postage and weighing machine, in addition to the audiovisual equipment; files personnel material (faculty and research related); maintains and upkeeps the master key depository, making copies and upgrading locks upon request and processes swipe access for all department personnel; handles inventory of office supplies and makes purchases as necessary; assists in organizing different events throughout the year including but not limited to the Colloquiums, Workshops, Faculty Meetings, Executive Faculty Meetings, Student group meetings, Receptions and Graduations; maintains and keeps track of all departmental equipment; schedules reservations for the seminar room; Books the travel and accommodation arrangements for visiting faculty. The incumbent maintains departmental bulletin boards and assists with reporting maintenance and security issues and submitting service requests; assists with renovation projects and gathering data pertaining to space surveys. Serves as the go to person for placing calls and following up with the department of facilities. Assists in any projects under the direction of the Director of Academic Administration and Finance.

General Minimum Qualifications: High School Diploma or equivalent. Two years' related experience.
Additional Specific Minimum Qualifications: Must have a strong customer service focus and demonstrated ability to work as part of a team. Strong computer proficiency (Microsoft Word, Excel, Access) excellent typing skills required. Must be willing to learn and implement new policies and technologies as needed for maximizing task performance. Excellent organization, prioritization, verbal and written communication, and strong interpersonal skills required.
Preferred Qualifications: Knowledge of Publisher and Power Point strongly preferred.
