Vendor Management Senior Lead, Contracts Group, Stanford University
The Vendor Management Senior Lead (VM) is the Universitys agent for managing supplier risk and performance through an environment of continuous improvement. The VM will be responsible for overseeing an active supply base of more than 15,000 suppliers and approximate spend of $2.2B. The VM reports to the Contracts Manager and will work closely with the newly created spend management team, whose primary focus is to leverage university-wide spend on a continuous basis, driven by key stakeholders, using a management based process, and measured by financially based metrics.
The primary role of the VM is the transformation of University vendor management from a procurement event to an ongoing life-cycle process, including development, documentation, implementation and maintenance of vendor management processes, standards, and metrics tracking. The position will make recommendations on the selection of vendor management software, services, and tools to facilitate the management of vendors and sharing of pertinent information to stakeholders.
As part of on-going responsibilities, the VM will establish and monitor Vendor Service Level Agreements (SLAs) against contract terms for primary vendors and business partners, participate in the development of sourcing strategies and vendor relationship management strategies for all aspects of Stanford, and facilitate regular communication concerning projects to ensure key performance indicators are achieved and maintained.
The VM is expected to work effectively with the entire P2P team, communicate tactfully with clients and suppliers, multi-task in a dynamic, fast-paced team environment, and successfully generate required deliverables within required timeframes.
VM tasks will include:
Development and maintenance of Pre-Qualified supplier list.
Reviewing industry best practices and selecting/implementing those that support the P2P strategy.
Managing vendor score-carding and working with the CSRM to monitor stakeholder satisfaction.
Collaborate with vendor partners to ensure they are effectively managed and contracts are fully leveraged.
Facilitation of meetings between various solution partners.
Engage with Procurement, Office of General Council (OGC), Risk Management, and Key Stakeholders to drive strong collaboration and value delivery with the Supplier Management program.
Maintain vendor information and contact list.
Assist in the development of internal monthly management reports.
Monitor results against goals via account dashboard; proactively review dashboards to preempt customer dissatisfaction.
Act upon gathered performance data and support the CSRM to provide quarterly feedback to business partners to ensure quality.
Coordinate and track annual cost savings resulting from VM activities.
Plan and conduct formal quarterly performance reviews with key accounts.
Minimize overlap/risk in products and services.
Improve communication between Campus and its vendors.
Improve audit and regulatory compliance.
Proven skills in influence and leadership with an understanding of the importance of collaboration and building relationships.
Analytical attitude about how processes can be smarter and more strategic.
Significant project management experience, including schedule, quality, budget, and prioritizing resources.
Experience developing supplier/vendor management programs.
Relationship Management, including tactful communications with colleagues at all levels.
Effective communication skills to include business writing and presentation skills.
Experience managing the vendor on-boarding and risk analysis process.
Experience collaborating with business partners to create clear program goals including setting realistic expectations and consequences.
Experience establishing SLAs and metrics dashboards including quality measurements.
Experience driving ongoing process improvements to deliver increasing operational efficiency and consistency.
Bachelor's degree or significant related field experience required.
