Rowan University is a public comprehensive state-designated research institution with approximately 16,000 students. Under the direction of the Chief Compliance & Privacy Officer, the Management Assistant shall assist in all compliance activities for Rowan University. Provides general administrative and management support within a division, department or office of the University. Coordinates office operations and serves as liaison with various units and administrative offices throughout the University
ESSENTIAL DUTIES AND RESPONSIBILITES including the following:
Plans and schedules the work of the department?s secretarial/administrative section to make maximum effective utilization of employees, equipment and materials within budgetary requirements.
Responsible for personnel matters for the department/division; maintains time and attendance records, ensures timely completion of forms for Human Resources, Payroll, etc.
Acts as principal liaison with various administrative departments and units of the University. Responsible for timely follow-up of problems and questions, and maintains a log and documentation of same.
Oversees the maintenance of department records and ensures that files and recordkeeping systems meet the needs of the department.
Composes correspondence; creates and maintains databases and spreadsheets as required.
Coordinates fiscal procedures within the office, including budget implementation and control. Ensures that expenditures are in accordance with allocation of funds. Responsible for PO?s, Check Requests, travel reimbursement, etc.
Compiles and analyzes relevant data from a variety of sources for inclusion in reports or presentation materials. Responsible for preparing reports for presentation to various audiences. Prepares charts, graphs, or tables as necessary.
Maintains or oversees the department?s calendar. Handles travel and conference arrangements.
Analyzes and organizes office procedures and workflow of the office, and recommends improvements as necessary.
Expedites and coordinates services such as maintenance, repairs, office supplies, equipment, and mail.
Directly responsible for the maintenance of the Ethics Forms and processes them for the Ethics Liaison?s Signature and the database.
Directly accountable to the Chief Compliance & Privacy Officer for ensuring the maintenance/management of the training management system for the entire University.
Processes the Exclusion Process for new Referring Physicians as they are requested to be entered into the IDX Billing System.
Acts as a liaison with other University units such, as Payroll, Physical Plant, Human Resources, etc.
Assist the Chief Compliance & Privacy Officer in working with Department Administrators, billing office and other appropriate personnel on the components of the annual Compliance Plan, providing ongoing education on compliance issues, responding to compliance questions, and handling requests for assistance in implementing solutions to compliance issues.
Assist the Chief Compliance & Privacy Officer in overseeing and implementing the University?s corporate compliance program within the framework of the University?s Corporate Compliance Program, federal and state law and federal, state and private payer requirements.
Assist the Chief Compliance & Privacy Officer in preparing for and responding to internal audits, inspections, subpoenas and investigations.
Develops and coordinates the compliance educational training programs for compliance and hot topics. Ensures Federal & State rules are updated according to new legislation and/or coding initiatives.
Maintains attendance rosters and documentation (Agendas, handouts, etc.) for training programs for physicians, fellows, residents and staff.
Directly responsible for the tracking and reporting of gifts received on the Stratford campus and forward to donated sites and reports information to the Chief Compliance & Privacy Officer.
Receives and processes departmental expenses including requisitions and processing of purchase orders through the banner system ensuring invoices are paid in a timely manner.
Understands and adheres to compliance standards as they appear in Rowan Corporate Compliance Policy, Statement of Principles and Conflict of Interest Policy
Keeps abreast of all federal, state and regulations, laws and policies as they presently exist and as they change or are modified.
Ensures the staff are trained and evaluated on their knowledge of and adherence to compliance policies and procedures specific to their jobs.
Performs other related duties as assigned

EDUCATION and/or EXPERIENCE:
Bachelor?s Degree in Business Administration, Finance or a related field, plus one (1) year of experience involving the review, analysis and evaluation of financial, organizational, and/or administrative practices in a business or government agency required. Must be proficient in computer applications as required by department. Applicants may substitute experience as indicated for the educational requirement on a year-for-year basis.
