SUMMARY: Provides secretarial and general office services to CME Coordinator and CME Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Answers telephones and provides complete customer service to all including physicians, registrants, speakers, and all involved in CME programs.
Responsible for department emails, correspondence, memos, forms, lecture material, etc.
Reviews and sorts incoming correspondence, prepares outgoing mail.
Responsible for all aspects of use of credit card machine including credit card charges and refund activity, daily and monthly reconciliation and monthly reports.
Arranges meetings, notifies appropriate parties, secures room space, distributes minutes and performs follow up activity if necessary.
Computes and compiles data for basic statistical or other reports according to a prescribed format: including CME registration reports and CME income and expense reports.
Operates and oversees maintenance of office machines.
Available to work at registration table for approximately 6 Saturday morning CME programs during the Fall/Winter months and other times during the year as needed.
Helps prepare documents and folders for CME programs for both onsite and online participants.
Helps prepare binders for all CME activities for AOA document survey.
Completes requisitions, purchase orders, check requests, check deposits and other University forms and maintains log of same.
Ensures adequate level of supplies for the department and places orders when necessary.
Assists in arranging and coordinating travel schedules and reservations.
Understands and adheres to Rowan University compliance standards as they appear in the Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
Performs other related duties as assigned.

EDUCATION and/or EXPERIENCE: Graduation from an accredited program in secretarial studies plus two (2) years of full-time secretarial experience. An additional year of experience is required in lieu of the secretarial program. Proficiency in typing and word processing skills required. College credits may be substituted on a year-for-year basis for secretarial experience. A maximum of sixty (60) credits or two (2) years may be substituted for two (2) years of secretarial experience.
