Harvey Mudd College invites applications for the Business and Finance Assistant position in the Financial Affairs unit in the Business Affairs Office. We are looking for someone who has strong computer skills, has an interest in supporting business and financial processes in a campus environment, and has a proven record of providing excellent customer service. This is a regular full-time, benefits-eligible, position that reports to the Assistant Vice President for Business Affairs/Assistant Treasurer. Summary of Job Responsibilities:
The Business and Finance Assistant performs a broad range of duties that vary in complexity in support of the functions and services performed by the various units within Business Affairs (i.e. the Assistant Vice President, Student Accounts, Student Payroll, Budget and Finance). Responsibilities are performed independently under general supervision of the Assistant Vice President for Business Affairs/Assistant Treasurer, and involve planning, strong organization skills, diplomacy, attention to detail, and initiative. The Business and Finance Assistant is entrusted with safeguarding the production, management and maintenance of confidential information for the Business Affairs Office and College. The position requires the capacity to manage multiple priorities and work well in a diverse and fast-paced environment. The Business and Finance Assistant interacts with a broad array of constituencies which includes students, alumni, faculty, staff, and external parties.
Summary of Qualifications:
Education: Graduation from high school with courses beyond high school equivalent to one or two years of college or business school; or a combination of education, training and relevant experience that provides the required knowledge, skills and abilities of the position.
Experience: Two to four years of increasingly responsible related experience, preferably in an academic institution.
Licenses/Certificates: Valid driver's license and a driving record acceptable to the College's automobile insurance carrier.
Knowledge, Skills and Abilities: Demonstrated proficiency in Microsoft Office and the capability to quickly learn and adapt to new software. Familiarity with and ability to learn a variety of business systems such as financial, payroll, automated workflows and report writing. Ability to independently organize, prioritize, and carry out responsibilities; effective time management skills; attention to detail; and demonstrated ability to meet deadlines. Excellent interpersonal, customer service, analytical, and organizational skills; ability to set priorities, juggle competing demands, and function in a busy environment with frequent interruptions. Ability to research files and select relevant information from a variety of sources and documents. Strong experience troubleshooting and quickly resolving questions and concerns from various constituents. Effective oral and written communication skills; demonstrated ability to write clearly and compose correspondence, reports agendas and other documents using proper formats, grammar and punctuation, and ability to edit, proofread and ensure accuracy and high quality of work. Ability to work individually and as a member of the Office of Financial Affairs and BAO team. Knowledge of business, administrative and clerical procedures; familiarity with standard office and high speed scanning equipment and electronic filing systems; ability to handle and maintain confidential information and documents; follow campus policies and adapt to change. Personal integrity and ability to interact respectfully and tactfully with various constituencies (trustees, faculty, administration and staff) as well as individuals with varying abilities, backgrounds, interests and beliefs; ability to represent the Business Affairs Office with discretion and professionalism.
