Advertised Summary Job Description: This position provides confidential executive support for the senior finance and administrative executive (vice chair) of Columbia Psychiatry . Columbia Psychiatry is a large complex enterprise comprised of three separate organizations: Columbia University Psychiatry, New York State Psychiatric Institute and Research Foundation for Mental Hygiene. The organizations share common missions of teaching, research and clinical care. There is considerable interaction among the three organizations, therefore the complexity and dimensions of this position require outstanding skills as well as professionalism. The enterprise is one of the largest departments of Psychiatry in the country. There are over 475 paid faculty and 225 employees, 155 trainees and an annual operating budget of over $200M.
Given the broad and complex scope of the Vice Chair's responsibilities, the Executive Assistant and Project Manager plays a critical role on the administrative team. The incumbent must manage the multiple facets of the Vice Chair's office, balancing each aspect with precision and sensitivity as well as absolute discretion. S/he is regularly called upon to thoroughly understand and interpret policy for faculty and staff. S/he must be comfortable and able to speak for the Administrator in their absence on matters within the scope of his/her position. S/he must have the absolute confidence and trust of the Administrator and must regularly exercise independent judgment in a variety of arenas.
S/he will be responsible for the organization and management of the administrative work necessary to keep the Administrator's offices running smoothly. The individual in this position must accurately, sensitively and confidently manage the communication to and from the Administrator's office, their time and schedule, the myriad of requests coming to the Administrator and the flow of information to and from the office. This includes using discretion and independent decision making. It also requires accurate referrals to appropriate staff but with additional follow-up. The individual in this position is regularly responsible for organizing and managing projects of significant size and scope for the Vice Chair's office. Projects vary, but include independent organization and management of Department-wide programs and initiatives. Projects may require a level of financial acumen as well as financial analysis.
General Minimum Qualifications: Requires bachelor's degree or equivalent in education and experience, plus four years of related experience.
Additional Specific Minimum Qualifications: Exceptional written and verbal communication skills with evidence of patience, diplomacy, professionalism and discretion. Financial project experience a plus. Ability to juggle multiple, competing priorities in a fast paced, complex environment with limited direction and with superior attention to detail. Superior professional interpersonal relationship management skills, with demonstrated ability to work both in a team and independently. Ability to manage confidential, sensitive information appropriately.
Preferred Qualifications: Adept at Word, Excel, Visio and other presentation applications. Work experience in higher education, health care, research organization. Project management experience. 5 years increasingly responsible executive level experience in a complex organization.
