The Senior Assistant Director for Admissions Operations is responsible for supporting the operational and technical functions of Undergraduate Admissions, including the processing and review of more than 30,000 undergraduate admissions applications and their associated supporting materials annually. The incumbent supports office leadership in the continuous evaluation of system tools and serves as a subject matter expert for Undergraduate Admissions in the development of strategies to leverage technology and systems that meet recruitment, admission, and yield needs. This position manages technical operations for Undergraduate Admissions, including the procurement and support of technology equipment and software. The senior assistant director reports to the senior associate director for admissions operations and serves as a point of contact in their absence. The senior assistant director for admissions operations manages, supervises, and coordinates work plans for a team of classified records managers with ownership for one or more significant components of the application life-cycle. This position serves as an active member of the Undergraduate Admissions recruitment team. 1.Management of Application Processing and Review:
Hire, train, manage and supervise a team of classified records managers to facilitate efficient and effective processing of more than 30,000 traditional and online undergraduate admissions applications and their associated supporting materials annually. Support the design and implementation of best practices and strategies that leverage available systems and technology infrastructure to improve the accuracy and efficiency of application creation, submission, and review processes. Plan and delegate projects and tasks to team members, monitor quality and accuracy, and ensure consistent compliance with state and federal regulations, university policies, and industry standards and best practices.
Assist the senior associate director for admissions operations in the efficient management of admission file review, including associated workflows and admission communication, with ownership for one or more significant components of the application lifecycle. Ensure that application files are routed appropriately and that decision workflows are efficient, monitoring distribution and directing load balancing as necessary.
Implement quality assurance measures to anticipate and identify potential data issues, and develop continuous improvement processes for data integrity of admissions records. Develop processes to audit and review data entry; ensure quality assurance activities are effective.
Develop and maintain thorough documentation pertaining to systems and associated policies and procedures for application processing and file review, and train university personnel. Serve as a point of contact and subject matter expert for University admission centers for day-to-day inquiries regarding application and admission processing and use of the student information system.
In coordination with office leadership, support the continuous evaluation of system tools and serve as a subject matter expert for Undergraduate Admissions in the development of strategies to leverage systems that meet recruitment, admission, and yield needs. Support the configuration and maintenance of admissions data models and integrations across various systems; support database applications. Participate in process design and provide support for monitoring systems integrity, maintenance of security and roles, quality control measures, and data flow between systems. Coordinate work plans with Office of Information Technology personnel related to admissions operations needs.
Use SQL to develop custom queries to support recruitment, admission, and yield communication and marketing campaigns across multiple media to an audience of approximately 250,000 constituents annually.
Plan and prepare for software upgrades or implementation of new technology solutions by developing and executing comprehensive test plans. Determine testing methodology and coordinate with stakeholders inside and outside of Undergraduate Admissions to ensure acceptable system performance.
Support the management of system security for database applications utilized by Undergraduate Admissions. Supervise the development of new security roles, authorize the addition or removal of access to these systems, and provision accounts for new users.
Design and build routine and special operational reporting and business intelligence analytics to support business decisions and evaluate effectiveness of recruitment and admission initiatives for Undergraduate Admissions, academic units, and other admitting centers.
Manage department inventory of computer hardware and software for computer workstations, peripherals, and printers/copiers. Analyze usability of technology based on equipment condition and end user needs. Anticipate the needs for replacement machines and oversee the procurement of replacements. Coordinate new hardware and software installations for staff and serve as a technical administrator for the equipment.
Develop and maintain collaborative relationships between Undergraduate Admissions and OIT support units, including desktop support and VOIP functions. Facilitate the entry of departmental technology issues into the technical support workflow by providing troubleshooting assistance, determining technology capacity, and assessing system and software needs. Monitor the ongoing progress and resolution of issues to ensure user's technology needs are met.
Student Recruitment. As needed, participate in and support Undergraduate Admissions recruitment and admission functions, including on-campus events, telephone and e-mail based customer service, and application review processes. Individual may supervise student workers and will check the work of lower level staff. Individual will lead selected training and quality assurance procedures. Performs other duties as assigned.
Bachelor’s degree required by position start date.
A minimum of 3 years of work related experience and a minimum of 1 year of supervisory or managerial experience required.
Advanced and continued knowledge of technology.
Proficiency in SQL and working knowledge of HTML.
Ability to communicate technical information to non-technical personnel and to communicate effectively, both orally and in writing.
Strong project management skills.
Valid driver's license; ability to travel independently overnight.
Successful candidates must pass a comprehensive background check (including criminal), university judiciary review, and driving record audits.
Master’s degree preferred.
Experience with PeopleSoft, OnBase, Oracle Business Intelligence, Microsoft Exchange and Office, and/or Active Directory preferred.
Experience with Technolutions Slate or similar CRM system.
