To provide administrative support to the Frankel Cardiovascular Center Inpatient Cardiac Surgery Advanced Practice Provider Teams, including the Administrative Manager, Physician Assistants and Advance Practice Nurses within the FCVC Inpatient Adult Cardiac Surgery Advanced Practice teams. Support includes coordinating staff meetings, calendaring, providing assistance to team members, conducting travel arrangements, and ordering supplies. Human Resources support includes processing bi-weekly and monthly payroll, job postings, scheduling interviews, processing job offers, and completion of credentialing paperwork. The role may also include other assigned duties in support of the FCVC Cardiac Surgery Inpatient APT team. Under FLSA, incumbents in this position are nonexempt.
Provide general administrative support to the FCVC Inpatient Cardiac Surgery APT manager and staff.
Process paging on-call schedule for stepdown unit and CVICU teams.
Process bi-weekly and monthly payroll, including running Gross Pay Registers, tracking overtime, shift bonuses, and monitoring Trigger reports for nursing staff as it relates to workload.
Assist in scheduling staff meetings, preparing agendas, meeting minutes, coordinating educational workshops and inservices.
Process HR tasks to include posting positions, arranging interviews, processing hiring paperwork, job data and DBE changes, loading new hire training into MLearning plans, processing leave paperwork, tuition support, other PARs as needed.
Assist providers with credentialing paperwork upon hire and as required for renewals.
Assist providers with Controlled Substance License and Drug Enforcement Administration license renewals.
Assist team members with travel arrangements for conferences as needed, to include air or rail transport, rental car, and hotel accommodations as well as conference registration and transportation.
Prepare travel and expense reports, reconcile expenses including collection of receipts, processing of travel documents, and assist team members with submitting reimbursement materials.
Maintain HR Blue folders and employee files, including annual audits.
Assist in schedule process by uploading new schedules and maintaining schedule updates.
Coordinate data collection, compile, and schedule of annual evaluations and PPE processes.
Serve as employee recognition liaison, coordinate/plan events and process awards.
Maintain an updated team roster and telephone contact/fan out list.
Order, receive, and stock office supplies for stepdown unit and CVICU Inpatient Cardiac Surgery APT.
Complete various team projects as assigned.
Maintain confidentiality of proprietary information.
Exercise independent discretion and judgment and be capable of analyzing information requests and forwarding them as appropriate.
Other administrative duties as assigned.
Direct supervision is received from the FCVC Inpatient Cardiac Surgery APT Manager. Functional supervision is provided by the FCVC Administrative Specialist to the Frankel CVC CAO.
High School diploma or equivalent combination of education and experience.
Two to four years of administrative support experience (4+ years for Senior level).
Ability to assess competing priorities, manage workflow, and meet operational deadlines.
Demonstrated ability to work independently, showing sound judgment based upon experience, and the capability to work as part of a team in a professional and collaborative manner.
The skill to handle confidential materials and situations with sensitivity and discretion is required.
Excellent interpersonal and written communication skills; ability to work independently with general supervision and maximum collaboration in a team environment.
Must provide strong customer service skills in all interactions.
Ability to work with a diverse group of people in a diplomatic and effective manner.
Experience utilizing Microsoft Word, PowerPoint, Excel, and web-based applications.
Ability to multi-task and work well under time constraints.
Strong organizational skills.
Demonstration of commitment to the FCVC Core Values.
Bachelor’s degree is preferred.
Experience with processing payroll.
Previous human resources experience.
Demonstrated knowledge of MNA contract language.
Experience utilizing Outlook, Concur, Wolverine Access, McKesson One-Staff, Cactus and other University of Michigan IT systems is desired.
Knowledge of University policies, rules, and regulations is desired.
