This position is responsible for collecting data required for confirming scheduled appointments for outpatient hospital services directly from patients and referring physician offices. This position also involves working closely with the ancillary departments to ensure that patients are given the procedure specific protocols needed to facilitate the highest quality exam. The Scheduler services one or more hospital facilities and reports to the entity-specific Manager – Onsite Patient Access Services.
Collect necessary data elements (e.g., demographic, insurance information) to schedule appointment and enter into scheduling and patient management systems.
Collaborates with ancillary departments to ensure that the proper protocols are being given to callers regarding testing.
Follow up with patients and referring physician offices to ensure all necessary data elements are collected and validated.
Provide way finding / parking information to callers.
Responsible for identifying when the need for an interpreter exists, and coordinating the service with the translation vendor and the ancillary department.
Responsible for coordinating patient transportation (identifying the need for para-lifts, protective oversight, and any other unique circumstances) for outpatient services, when applicable.
Daily focus on attaining productivity standards, recommending new approaches for enhancing performance and productivity when appropriate.
Maintain appropriate records, files and timely and accurate documentation in the patient business cycle systems.
Ensuring that there is a complete physician order in place before the time of service, as to not delay patient care.
Responsible for identifying when a new provider needs to be added to the patient management system.
Responsible for identifying any potential risks to patient safety in regards to testing protocols, and/or patient mobility and communicating with the appropriate departments.
Responsible for identifying when there are potential identity red flags, and communicating as appropriate.
Responsible for identifying potential patient overlays, and either correcting, when applicable, or communicating as appropriate for resolution.
Maintains daily resource schedules.
Recognizes, documents, and alerts to trends of patient call frequencies and durations.
Perform medical necessity checks and initiate ABN issuance and education to patient, as necessary.
Requires High School diploma or equivalent
1 year of related experience required
The ability to work in a diverse call center environment.
Critical thinking skills.
Clear understanding of the impact scheduling services has on patient business services operations and financial performance
Medical terminology highly recommended.
