<p><br /><span style="font-family:arial,helvetica,sans-serif;"><strong>Financial Management - 45 % of Time</strong><br />• Plan, prepare, forecast, monitor and approve all budgets for the Carlson Global Institute. This includes (but is notlimited to) the department operations, administrative, program and scholarship budgets.<br />• Manage fiscal activities of the department including budget, cost negotiation, expenditure and income forecasting, and long-range fiscal planning, serve as approver for all budget activities.<br />• Serve as key liaison to Carlson Financial Services (FSO) and conduct quarterly budget meetings with FSO representative to review budget’s status and spending goals.<br />• Initiate all payroll documentation for CGI. This payroll is for all deans, staff, students and some teaching faculty and instructors. Act as signing authority for all payroll activities.<br />• Manage internal and external faculty contracts and all domestic and international vendor contracts.<br />• Utilize University systems (DMS, EFS, UM Reports) to review CGI operating and Foundation accounts.<br />• Initiate, monitor, and approve all faculty and staff purchases (including P-card, non-PO’s and EFS activities) from all CGI accounts. Ensure college and university policies and procedures are upheld, address issues of appropriate spending with individuals, and find solutions, if needed.<br />• Process and approve all CGI expenses and deposits.<br />• Analyze fiscal budgets, initiate and verify transfer of funds for budget corrections throughout the fiscal year.<br />• Initiate, authorize and verify the transfer of Foundation funds to EFS to cover budget deficits.<br />• Provide fiscal support for departmental grants and awards.<br />• Perform a budgetary assessment and adjust budget plan as needed during times of financial deficit.<br /><br /><strong>Administrative Management - 30 % of Time</strong><br />• Serve as Carlson School area manager for CGI and contribute to quarterly area manager meetings.<br />• Lead Operations annual strategic priorities. Research and compile data for related metrics and other reports.<br />• Serve as information and advisory source on school and university policies and procedures for the Carlson Global Institute, including unique international-related activities.<br />• Coordinate general planning for departmental activities including oversight of meetings, trainings and special events.<br />• Coordinate new course development process and changes to existing courses. This includes entering new and editing existing courses in ECAS.<br />• Enter tuition and fees data in TFMS and compile area budgets and position management data for submission to FSO.<br />• Supervise 2 full-time employees and oversee reception desk operations including supply, equipment and inventory<br />management.<br />• Oversee arrangements for new staff onboarding. Advise new staff on policies and procedures at the University and Carlson School.<br />• Coordinate and oversee allocation and access to department space, manage office moves and serve as liaison to Facilities Management.<br />• Serve on Carlson School committees and assist with projects and events such as the annual CGI reception, as needed.<br />• Provide administrative support for Associate and Assistant Deans. This includes researching and reporting on items as requested and scheduling meetings with stakeholders.<br />• Serve as initial contact for all inquires and requests on behalf of CGI from the Office of the Dean and other departments within and outside of the Carlson School.<br /><br /><strong>Personnel Management - 25 % of Time</strong><br />• Full supervisory authority for bargaining unit and student employees, to include hiring, evaluating, assigning work, disciplining, and dismissing.<br />• Serve as key liaison to Carlson School Human Resources and communicate and advise on HR policies and procedures to CGI staff.<br />• Oversee preparation of personnel documents for student employees, bargaining unit, civil service, and P&A employees. Manage annual performance review process.<br />• Work with Carlson School Human Resources to complete procedures related to reclassification's, disciplinary issues and other departmental HR issues as needed.<br />• Manage recruiting and hiring process of staff and student employees. This includes advertising positions, creating job postings, monitoring recruiting budgets, and visa processing for new hires.<br />• Initiate employment and payroll documentation for new employees, monitor and initiate changes as needed. Work with HR/Payroll to ensure timely payments and benefits.<br />• Advise and train new staff on policies and procedures at the University and Carlson School, e.g. allowable purchases, reimbursement forms, p-card purchasing, etc.</span></p>
