The Special Events Assistant is a part-time, temporary role to help the Communications Specialist with the planning, preparation, and execution of the Graduate School Commencement rehearsal, reception, and ceremonies. This position will help liaise with the various people and offices needed. Responsibilities to include:
Student and Guest Communication
Coordinate and help execute communications (email, video, newsletter, social media) related to all aspects of Commencement.
Create and organize registration lists to ensure degree and attendance-specific information to help confirm all graduates are prepared.
Review web content to help improve information for graduates and guests.
Writing, proofreading and materials prep
Review all Commencement materials for grammatical and factual correctness. This includes awards, program content, script, signs, email communication, invitations, special recognitions, and dissertation titles.
Assist with writing stories, accolades, announcements, and some script content.
Help with preparing training materials and communication.
Assist with training meetings for presenters, staff, and student volunteers.
Event materials procurement and organization
Help ensure that all necessary items for the events have been ordered/created, including signs, folders, stands, binders, lists, shirts, etc.
Cross-departmental coordination assistance and event management
Assist with cross-departmental and outside vendor meetings that are required for Commencement (DPS, Media Services, CIS, Catering, sound and music companies).
This is a part-time temporary position working 20 hours/week with an end date of May 31, 2018.
