Applies knowledge of programs, business services, operations, and administrative policies and procedures ensuring compliance, timeliness, and a high level of service. Reporting to the Department Head this position will manage daily operations and supervise office staff. Specific responsibilities include managing services related to daily financial transactions, accounts receivable/payable, human resources, facilities, administrative tasks, records management, payroll, faculty annual reports, scholarships, graduate assistants, prepare teaching schedule for all semesters, timetable, course schedules, commencement, advisory board meetings, gift reports and occasionally assist with special projects and other related matters. Uses excellent judgement and decision-making skills to ensure the integrity and professionalism of business services, records management, and compliance. Manage internal and external relations by effectively communicating with students, parents, alumni, and other stakeholders.
Previous experience supervising staff and leading office operations. Previous experience providing administrative support in a professional office environment; demonstrated ability to work with confidential, complex, and sensitive information; customer service and detail oriented. Working knowledge of procurement and business principles with the ability to research, problem solve, analyze accounts. Working knowledge of Excel and other Microsoft applications with the ability to work with complex data, create formulas, and import and export data. Ability to work with individuals from a variety of backgrounds and personality types to accomplish multiple tasks, strong communication skills and top- notch interpersonal skills.
Bachelor's degree in Accounting, Business, Finance, Management or related field or training and experience in bookkeeping/accounting procedures, analysis and reporting equivalent to a Bachelor's degree. Experience in higher education, specifically academics and research. Experience working with education and general funds as well as foundation or private funding. Experience with financial, and human resource management systems and procedures specific to Virginia Tech, such as Banner and VTF Banner (finance and HR), HokieMart, Timeclock Plus, TEM, Depart, leave system, CashNet, Online I-9 system, Micro-strategies and PeopleAdmin. Demonstrated knowledge and experience with preparing, reconciling and monitoring financial activity and preparing reports. Knowledge of university policies and procedures.
