The Assistant Dean, Office of Academic Affairs (OAA) serves as a member of the Deanâ™s administrative team to provide leadership for initiatives within the Office of Academic Affairs.
The Assistant Dean will develop the business and administrative mission and goals for the Office of Academic Affairs and will oversee its implementation in collaboration with department chairs and managers.
The Assistant Dean establishes goals and strategies to align its faculty policies and processes with the strategic vision for the University of Chicago Medicine including the faculty and physician requirements of the School and its affiliated hospitals and health system.
The Assistant Dean develops the strategy and direction for programs and initiatives in the areas of faculty recruitment, onboarding, education and mentoring programs, and faculty leadership development.
The Assistant Dean will oversee the deployment, execution and allocation of all resources for these programs as needed.
Leading the ongoing assessment and optimization of the business processes and systems to meet the needs of stakeholders and customers.
This would include improving the timeliness of processing, and reducing unnecessary and redundant rework.
Influence policies, processes, and systems at the University level and in other schools that will help to streamline appointment, reappointment, promotion, and related processes and improve outcomes.
Oversee all Deanâ™s Office administrative reviews associated with the recruitment, appointment, reappointment, promotion, compensation, benefits, disciplinary matters and termination of academic personnel.
Advise on the interpretation of University policies and in the development of BSD policies, procedures, programs and processes that enhance the recruitment, retention and development of excellent and diverse faculty.
Further, the Assistant Dean advises Department Chairs, Institute Directors, and other faculty leaders on strategic efforts related to faculty recruitment, diversity, appointment, promotion, development, engagement, wellness and retention issues.
Facilitate communication between Offices of the Provost, Office of the Dean, and Chairs/departments related to academic personnel in clinical departments, basic science departments, interdisciplinary committees, affiliated hospital and off-site facilities.
He or she will provide analysis and recommendations on trends related to recruitment, appointment, promotion and salary and compensation issues.
The Assistant Dean will provide analysis and recommendations on issues affecting salary, equity, and market trends in order to assist departments and the Dean in developing appropriate compensation recommendations.
Maintain academic records and respond to both internal and external academic reporting requirements.
Ability to lead BSD academic affairs function including planning, development and implementation of academic affairs programs in line with divisional and university strategic initiatives.
Demonstrated expertise in leading new initiatives, embracing change and innovation in administration
Demonstrated expertise in developing/managing faculty and physician policies, programs and processes at a major university or academic medical center
Demonstrated knowledge in a wide range of academic affairs functions such as recruitment efforts, employee and labor relations, leadership coaching and communication planning
Ability to serve as an inspirational, persuasive, available, visible, diplomatic and agile leader with a track record of success in transformation and measurable outcomes
Ability to communicate and listen effectively, ability to communicate comfortably with faculty, staff, students, and officials at the highest level of the organization and in large group settings
Ability to influence people, solve problems, troubleshoot, and think creatively and analytically to resolve conflicts
Demonstrated knowledge of industry standards, trends and/or regulatory requirements and serve as the subject matter expert for areas of responsibility
Ability to ensure timely and quality customer service to all key stakeholders, including academic departments and the senior executive team
Ability to drive change and build consensus and buy-in on significant initiatives and issues
Ability to be diplomatic as a representative of the Division on behalf of the Dean
Ability to remain calm under pressure and handle unexpected challenges or situations, multiple constituents, and aggressive and simultaneous work deadlines
Ability to understand the University culture and ability to successfully engage and collaborate with Academic Affairs administrators across the BSD in a decentralized setting
Demonstrated capacity to learn new technologies
Ability to formulate recommendations and develop presentations
Ability to continuously demonstrate highly ethical behavior and a professional manner at all times
Must assure that confidential information is protected
Bachelorâ™s degree required; Masterâ™s degree, MBA or JD preferred;
Ph.D. or demonstrated familiarity with academic credentials and qualifications required
Minimum ten years relevant experience in administrative or financial management r
Minimum of five yearsâ™ experience within an academic institution preferred
Knowledge of biomedical science, academic affairs, human resource management, business law or immigration regulations
Prior experience demonstrating ability to work within complex organizational environment
Prior experience in a senior leadership role preferred
Prior experience successfully building and leading teams
