Position Summary: We have an exciting opportunity to join our team as a Program Manager.
Responsible for providing moderate to advanced range of Project/Program coordination functions. Responsible for supporting, promoting and coordinating the implementation, development, delivering and evaluation of a Project/Program. Works with internal and external parties to organize the various components needed to initiate, run and conclude major Project/Programs. Supports, promotes and coordinates the development of research Project/Programs (gathering, collecting and analysis data). Facilitates the administration process of departmental activities (e.g., recruiting and on boarding process, maintaining records, compiling and monitoring the master schedule for meetings, grant writing and submission, developing an annual budget, scheduling meetings, organizing and coordinating seminars, training programs and other related activities) for a manager or director of department. Supervise administrative staff as needed. Works autonomously and with limited oversight.
Provides moderate to advanced coordination for Project/Program activities to a manager or director of department that includes but not limited to: coordination of Project/Programs while working/communicating with internal and external parties to organize and coordinate the various components needed to initiate, run and conclude Project/Programs activities. Might evaluate and make recommendations based on analyses, observation and or feedback. Develops Project/Program schedules, may oversee Project/Program purchase requisitions and invoice payments. Assists in developing departmental plans, goals, objectives, policies and procedures.
Prepares and review documents independently and generates status/progress reports for ongoing and pending Project/Programs. Plans, arranges, outlines and drafts letters, memos, agendas presentations and reports. Advanced analysis is required to present findings. Reviews, edits and obtains appropriate approvals. Responds to more complex correspondence and refers the more complex issues with recommendation to supervisor. Follows protocols as defined by the grant and Medical Centers policies and procedures.
Recruit, hire, train, complete employee performance reviews, and supervise project assistants and volunteers for the program and ensures all office policies and procedures are being implemented.Reviews workflow and recommends improvement if applicable to ensure appropriate cycle times and efficiency.
Researches/gathers and collects data from different parties and presents findings and preliminary analysis as applicable. Researches problems, issues and concerns and responds to requests for information. Develops materials and presentations for training and educational sessions, departmental seminars and other activities.
Oversees the preparation of grant applications and other grants related activities such as developing grants applications/proposals and fund raising activities if applicable. Collects and organizes required paperwork for submission if required for the grant. Follow up and coordinates resolution of all issues progress reports to the sponsors to fund medical research in the division.
Organizes and coordinates schedules, activities and special events. Coordinates conference preparation activities (checking and coordinating the logistics and technical support, making food and beverage arrangements, etc) and other related activities. May assist in special events planning.
Oversees planning/management of activities for the whole team and of multiple projects as assigned. Reviews progress of projects and initiate appropriate actions to achieve target objectives.
Combines and evaluates information and data to make decisions about relative importance of information and choosing the best solution to solve problems. Resolves complex situations based on established policies and procedures and refers non solved issues and questions to the Principal Investigator or manager as needed.
Demonstrates knowledge of the organization's Core Values and incorporates them into the performance of duties.
Participates in special Project/Programs and performs other duties as required.

Data Management Develop and manage databases or spreadsheets in response to the identified need of the Division Director and or Administrator. Analyze all collected data in order to provide recommendations and suggestions. Prepare ad hoc reports on demand using excel and other databases software tools. Prepare reports with recommendations upon demand. Maintain databases and update as needed.
Minimum Qualifications: To qualify you must have a 1. Bachelor degree or equivalent in business administration, health care administration or related field. 2. Three years of experience coordinating Project/Programs or programs or an equivalent combination of education and experience, and at least 1 year of supervisory experience. 3. Proficiency in using various Microsoft Office applications such as World, Excel, Access, Power Point and Outlook. Familiar with Internet applications. 4. Effective oral, written, communication, interpersonal skills. 5. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. 6. Time management skills and ability to work well under pressure. 7. Ability to Project/Program manage and to multi task while paying attention to details.
Preferred Qualifications: Master's Degree in business administration, health care administration or related field is preferred.
