Provide administrative support, secretarial support and coordination tasks/functions directly related to the functions within the NCCBD. Provides support to the Director of the Nemours Center for Cancer & Blood Disorders and the Director of Operations, NCCBD. Duties will include coordinating meetings/events for the NCCBD, to include both DE and FL locations.
This position will coordinate activities such as meetings, special projects, correspondence, reports, presentations, travel requests, expense reports, check request, purchase orders, physician credential needs, and other NCCBD physicians with respect to travel and educational support. This position will interact with Nemours Senior leadership, Hospital and Physician leadership at Nemours/Alfred I. duPont Hospital for Children and Nemours Children's Hospital as well as all locations throughout Florida.
Coordinate all activities for the Director of NCCBD, Credentialing for Department Physicians, various committees/conferences and teams as assigned including travel arrangements.
Supports physicians with correspondence to include patient related and administrative purposes.
Assists in the coordination of activities for the Director of Operations, NCCBD to include access and maintaining the âœOn Callâ schedule on-line; assists with EPIC Schedule/Template requests, etc.
Responsible for all aspects of payroll; KRONOS Timekeeper for NCCBD, input/monitoring of Research TimeKeeper (for Research-based activities by physicians and staff)
Coordinates Departmental Meetings â“ Staff Mtg., Rounds, Teaching Conferences, etc.; includes room reservations and refreshments, when needed.
Assists with development and execution of NCCBD budget(s); responsible for reimbursements, payments and ordering of supplies and equipment.
Assists with the develop departmental policies and procedures; conducts research and produces summary reports upon request; maintains handouts and educational materials for Teaching Rounds, etc.
Develop, update and maintain brochures, handouts, and other educational materials/booklets for department staff, physician leadership.
Serves as primary contact/resource for facilities and IT/Communication needs â“ phones, computers, pagers, etc.
Maintain current, accurate project files and binders for teams, other committees and assigned activities, i.e Leadership and Physician Licensing/Development Manuals.
Handle diversified duties and multiple open projects
Confidentiality in all aspects of the position
Minimum of 5-7 years progressive Medical Office experience; a combination of experiences may be substituted for educational requirement.
5 years experience as coordinator or office management; Independent; functions with minimal direction, accountable for own actions
