Program Manager - Medical Scientist Training Program

About the Position:
The Medical Scientist Training Program (MSTP) Program Manager, working closely with MSTP Leadership Team, will play a key role in student and program management, financial support, grant management, and leadership team support.The MSTP Program Manager will be responsible for the planning and execution of all MSTP-related events, coordinate and implement the activities planned by the MSTP Leadership Team and students, evaluate and resolve student inquiries, issues, and problems, and ensure appropriate action is taken to the satisfaction of the student and the MSTP Leadership Team.

Manage Annual Retreat
Guide student committee to plan and execute annual retreat
Secure vendors and facilities and serve as primary point of contact
Manage registration process for attendees
Purchase and prepare materials and handouts for event
Assess effectiveness of program and provide report to committee and Leadership Team
Develop the overall logistical plan for new student and continuing orientation
Coordinate with university offices to provide students with required training, documentation, and computer access
Make arrangements for rooms and meals
Develop continuing orientation curriculum
Coordinate with student committees to plan and execute transition phase orientations (M2-G1 and rising Immersion Phase)
Provide support for the planning and execution of MSTP Activities (Seminar Series, DIB Club, Half-time Party, Commencement Reception, Discovery Lecture, Physician-Scientist Speaker Series, Grant Workshops, Mock Study Section, Leadership Workshops, RCR, FBR I & II, Class Meetings and Advising Colleges)
Make arrangements for rooms
Guide students in selecting speakers
Secure and serve as point of contact with vendors
Purchase and prepare materials and handouts for events
Communicate program details with participants/invitees
Assess effectiveness of program and provide report to committee
Provide budget management for all events
Student Financial Support
Manage student accounts
Maintain current student funding status for stipend and tuition disbursement
Process student stipends
Serve as the Human Capital Management (HCM) Specialist for the MSTP
Initiate vendor and visitor payments as the MSTP procurement initiator
Manage the Departmental One Card and student One Card
Serve as Guest Travel Coordinator
Assist students with reimbursement requests
Manage travel grants, approve requests, solicit applications to travel to regional and national MD/PhD meetings (SEMSS, APSA and Student MD/PhD), and secure travel arrangements for students traveling to regional and national MD/PhD meetings
Approve student expenditure requests for use of MSTP funds
Coordinate student fellowship applications (F30) submission process for MSTP students
Communicate with students, mentors/faculty re: timeline, requirements, components of application
Serve as pre- and post-award manager of F30s
Appoint and terminate students to MSTP T32 via ERA Commons
Provide data and support for training grant
Recruitment and Admissions
Attend Thursday night recruiting dinners and Friday morning welcome sessions
Assist MSTP Assistant Director of Admissions & Recruiting, as needed
Schedule/coordinate and support student meetings with leadership team and faculty
Serve as a resource to students
Assist Leadership Team in communicating with students and faculty
Manage MSTP calendar
Update MSTP distribution lists
Perform other duties and responsibilities as assigned
Bachelor's degree in science or education-related field.
Experience in student management and programming.
Event planning experience.
Previous experience in higher education preferred.
Master's in Health Sciences, Education or related field preferred but not required.
Strong organizational and reporting skills, ability to multitask, work with competing priorities and timelines.
Strong communication skills and relationship building skills.
Ability to work effectively in teams and communicate with students and faculty in an academic setting.
Ability to take initiative and make decisions with in-depth understanding and interpretation of program mission and initiatives.
Professional and team-focused attitude and ability.
Proficient in the use of MS Office, with the ability to be facile with various computer programs is essential.
Attention to detail and ability to present accurate information.
Action oriented, self-motivated, functional/technical skills, interpersonal skills/savvy, organizational skills, time management, written communications, project management, grant management, strong multi-tasking skills.
Occasional evenings and weekends; travel out of state once or twice per year
