Rutgers, The State University of New Jersey, is seeking a Department Administrator for Rutgers School of Social Work. The Department Administrator in the Dean's Office of the School of Social Work reports to the Associate Dean for Finance and Administration, and provides professional, executive-level administrative support to the Dean and Associate Deans of the school.
Among the key duties of this position are the following:
Supports faculty personnel processes and documentation and works closely with the University's central administration.
Manages processes related to confidential personnel matters.
Serves as information manager of the school
Coordinates schedules and calendars for executive-level administrators and school-wide committees.
Supports major events such as graduation, conference exhibits, and other special projects.
Works with Associate Deans and Directors of Development and Communications to facilitate and ensure effective use of Dean's time, responding to and directing efforts in accordance with Dean's intentions.
Provides direction of daily administrative operations to administrative support staff, including scheduling, correspondence, travel, events, and other areas as assigned.
Minimum Education and Experience:
Requires a bachelor's degree preferably in human resource management or a related field, and experience that demonstrates knowledge of information management, office administration, work organization and coordination, and ability to think critically; or an equivalent combination of education and/or experience
Requires a minimum of two years of administrative experience in increasingly responsible positions.
Required Knowledge, Skills, and Abilities:
The incumbent will be involved in many confidential processes that require a working understanding of the mission of the school and its units, attention to detail, tact, and confidentiality.
This position requires a high level of proficiency with information technology systems, database and information management systems, and administrative/business processes.
Ability to work independently, take initiative, ensure project direction and completion, and to project a professional image and represent the School of Social Work effectively to executive level external and internal constituencies.
The following skills and abilities are essential to success in the position and are therefore required:
Outstanding oral and written communication skills;
Advanced proficiency with Microsoft Office Suite (Word, Access, Excel, Access) or comparable products and ability to adapt to new technology;
Ability to work with a great deal of independence and discretion and to keep sensitive matters confidential;
Ability to handle a wide variety of tasks simultaneously and maintain calm under pressure;
Sustained attention to detail while maintaining awareness of important priorities;
Regularly take initiative and always follow-through independently;
Ability to manage time and projects in order to complete work thoroughly and on time;
Ability to interact effectively with very diverse people and with a wide range of stakeholders – students, faculty, university officers, the media, and donors
Ability to comprehend and inform university and school policies, union bargaining agreement (particularly those relevant to faculty, PTLs, TA/GAs, and Post Doctoral Fellows/Associates).
Experience with faculty personnel issues.
Higher education administration and/or academic human resources.
Experience as a paralegal and data management.

MS Office software: word processing, database, and spreadsheet applications
Rutgers-specific systems including but not limited to: Cornerstone, Canvas, Qualtrics (or other open source tools)
Web applications, including school-specific, university-wide, and public systems.
Expected to use and be familiar with copier machines, fax, and other office equipment
Expected to provide conference/meeting support including A/V needs for meetings both on-site and with remote connectivity.
Requires occasional evenings and weekends work availability.
