Required Education and Experience:
High School diploma or GED.
Three years of related experience in general office, accounting, or personnel operations.
Required Knowledge and Skills
Working knowledge of spreadsheet and word processing software programs.
Interpersonal and communication skills.
Basic planning and organizational skills.
Preferred Education and Experience:
Associate s degree.
One year experience with the preferred education, including task management experience.

Process employment documents for new employees and inform them of university and departmental procedures. Assist departmental employees with questions regarding employee benefits. Initiate letters pertaining to personnel matters. Assist in coordination of Sick Leave Pool and FMLA programs in our department, informing faculty and staff of programs and the availability of benefits. Provide statement of employment letters and handle employment verification requests. Work with individuals beginning Leave and departing the department to ensure that COBRA benefit requirements are addressed and all usage requirements are met. Keep up with relevant changes in the University s policy and procedures manual. Has thorough knowledge of TAMUS Regulations and Rules regarding absences and provides information to departmental employees. Coordinates online State Mandated Training and ensure all employees have completed training. Utilize TAMU UIN Manager database program to identify an existing UIN or establish a new number.
Prepare documents for Faculty/Staff ID Card issued by Student Business Services. Ensure employees complete required General and Work Area Specific Safety Training and post records to departmental training database program. Review key and shop authorization requests, assure completion of Building Access Security forms and maintain records. Monitor changes in workplace posters. Perform one or more HR/Payroll related duties and is annually evaluated on performance of those duties.
Monitor the on-campus employment of the approximately 250 international faculty, staff, students, and visiting researchers in the Department, and ensure compliance with federal employment and immigration regulations. Coordinate with International Faculty and Scholar Services, faculty, and foreign national visitors to ensure necessary documents are completed to allow foreign national research personnel to come to the university. Direct employee I9 completion and maintenance as per Department of Justice, U.S. Citizenship and Immigration Services regulations in coordination with International Faculty and Scholar Services and Payroll Services. Work closely with international visitors, including posting of records to departmental database program, to ensure proper documentation is maintained during the individual s term of appointment and assist as needed with visa changes and extension processing.
Utilize TAMU Online Position Description Services system to create new positions, propose changes to existing positions and route such requests electronically. Interview supervisor and current occupant to determine the duties and responsibilities when preparing a reclassification request. Assist employees in utilizing the On-line PD system to view, update with approvals, and certify the accuracy of position job descriptions. Assist in analysis of personnel utilization of employee work units. Utilize TAMU Online Position Description Services system to post Notice of Vacancies. Assist hiring managers during the hiring process. Ensure hiring process and document maintenance is in compliance with System regulations and University rules. Serve as liaison with Human Resources Offices. Work with VPR office to add Research Positions as appropriate. Handle advertising of technical staff positions in media sources when required. Advertise for student worker assistance using Jobs for Aggies Online System and assist supervisor as needed. Direct distribution of periodic and annual Performance Evaluation Forms for Non-Faculty Employees and ensure current evaluations are on file in each employee s personnel file. Stay up-to-date on best business practices by attending training, seminars and conferences related to responsibilities.
Manage departmental roster information: update name, phone numbers and other information to the roster website daily or as changes are received including new hires, promotions, departures, and internal transfers. Maintain files for Administrative Staff, Research Staff and Graduate Students as per University procedures and System Records Retention Schedule. Coordinate with Senior IT Manager the assignment of email addresses for new employees and the deletion of departing employee email addresses. Coordinate with Business Associate I mailbox setup and take down.
Interact with employees and supervisors to complete Employers First Report of Injury and Employers Supplemental Report of Injury. Oversee filing with Human Resources Benefits Office and coordinate with employee regarding Workers Compensation Insurance (WCI) functions. Oversee filing as needed to Environmental Health and Safety Department of injury report for students enrolled in Chemistry classes. Maintain documentation as required by record retention.
Update happenings board. Oversee program of acknowledging employee achievements with award certificates. Assist Business Coordinator I and Business Associate I with payroll record keeping. Handle special projects for Assistant Department Head and Payroll Services Supervisor. Related duties as assigned.
