The Center for Professional and Executive Education (ECPE) is charged with developing and delivering high quality educational programs. The Department's Administrative Assistant plays a central role in the efficient functioning of the team. Under the supervision of the Manager of Administration and Operations, this individual will be responsible for several activities, including:
- Responsible for the Director's and Deputy Director's complex calendars -- arranges meetings, appointments, and travel - Assists in managing their travel expenses - Coordinates and participates in department All-Staff meetings. Works with colleagues across the department to complete intra-Department projects such as ECPE Annual Report, which may include gathering data and preparing professional presentation materials - Supports and coordinates key faculty and administrative meetings lead by Director and/or Deputy Director such as Faculty Advisory Committee meetings, PPCR Faculty Oversight Committee meetings, Program Director Luncheons, etc. This may involve arranging catering, audio-visual equipment, presentation support, etc - Provides scheduling and administrative support for select revenue-producing educational programs done for external organizations or open enrollment programs as required - Answers calls to the department's main telephone number and, when necessary, refers the call to the appropriate staff member or Harvard Chan School office for resolution - Maintains the department contract file and Fed-Exes Invoices and Contracts as needed - Professionally represents ECPE to faculty, staff, students and external visitors and callers - Provides back-up support for conference room booking, parking requests, general office maintenance calls, supply ordering and inventory - Other duties as assigned
PLEASE NOTE: The Staff Assistant may occasionally be required to work overtime.
