Under the general direction of the Associate Registrar - Operations, the Process and Systems Manager/Business Analyst (PSMBA) is the primary resource for the business analysis, revisioning, and development of processes that support the Office of the Registrar (OREG) including student records, course registration, and degree audit services. The PSMBA provides technical support and oversees software tools and technology for fifteen staff in the OREG, developing and managing projects that require IT resources. As the institution moves toward the integration of Workday as its ERP, the PSMBA will play a key role in bringing the institution’s processes for student records, registration, degree audit and other related functions towards best practices.
Essential Duties and Responsibilities:
Provide Business Analysis of Registrar Systems and Processes
Comprehensively review OREG processes run on Ellucian Colleague, PowerCampus, and other systems. Processes include but are not limited to: student records management, batch registration, undergraduate registration, special programs registration, special student group registration, consortium cross registration, check-in, graduation, transfer, AP, CLEP credit, grading, transcripts, student schedules, faculty rosters, demographic information, enrollment reporting, academic reporting, curricular procedures, probation, Dean’s list, duplicate records resolution, IPEDS reporting, customer relationship management (including programmatic emails from within and outside of Colleague, and texts to students), report writing, and report maintenance.
Maintain ERP Integrity, Plan and Implement Systems Migrations
Identify opportunities to improve data mapping, structure, and coding, records management, database usage in anticipation of systems migration. Provides leadership and subject-matter expertise to system migration initiatives affecting student records and information systems, such as duplicate person resolution, duplicate course resolution, Colleague regular update testing, and contributes to planning and testing efforts for large updates such as purges, moving from Colleague/PowerCampus to Workday. Provide strategic project management and business analysis services and to provide best practice recommendations for Berklee student information systems.
Advanced Report Writing and Data Querying
Manage and update the database of processes that are managed by the Office of the Registrar. Ensure quality control of process documentation across the department. Provide documentation to OREG new hires for “Getting Started as a New Employee”. Send out automated student withdrawal notifications to College faculty
Provides technical support to OREG staff and coordinates the adoption of new hardware and software.
Provides technical support for OREG management and staff. Works as a liaison between OREG staff with distributed support staff, training and support, programmers, operations staff, and/or web support staff to oversee the successful resolution of technical support needs. Oversee software tools for Office of the Registrar. Provides solutions to support processes (e.g., emails to deregistered students, survey emails, withdrawal notifications to faculty and students, missing grades to faculty and department chairs, image database).
Partner with OREG and IT to establish and maintain a disaster recovery plan for OREG student records. Serve as backup resource to provide FERPA and other trainings across institution. Manage ERP security classes respecting appropriate access to student education records.
Batch Registration Support for Entering UG and 5 Week Summer Programs
The OREG Operations Team is responsible for conducting highly detailed batch registration and quality control cleanup for entering students three times per year and for the 5-Week Summer Performance program. The PSMBA is an important member of this team.
Lends leadership and expertise to college-wide user groups
The PSMBA is expected to take part in college-wide user and extends collegial support and technical guidance to users across the college, and may serve on various committees and attend national and regional conferences exploring developments in higher education and information system technology.
Ad hoc team events and projects
The PSMBA is required to keep abreast of all activities of the Office of the Registrar As assigned by the Associate Registrar – Operations or other members of the Registrar Leadership Team. The PSMBA will be responsible for assisting in ad hoc projects and committees. The PSMBA will participate proactively in three entering student check-in events per year and in pre-commencement and commencement activities.
