Provides executive level administrative support to the office of the Vice President in Human Resources. Responsible for communication management, program and project management, relationship management and customer service, as well as executive office management.
Primary responsibilities include: - Perform a variety of tasks to ensure the flow of accurate and timely information, including establishing and maintaining an annual calendar of recurring communications and events, managing contact information for key communications internal and external to the division and the University, developing and sending correspondence on behalf of the Vice President and Executive Director, as well as providing support to Human Resources web site.
- Support and/or lead designated projects, workgroups and committees, proactively managing timelines, establishing project scope and requirements, developing project plans and organizing/managing all resources to ensure successful completion of projects. Examples in this function include conducing benchmarking of other organizations HR policies and programs and other research activities, developing tables/charts/reports summarizing findings, coordinating review of legislative bills within tight deadlines, participation in/management of key HR committees to include establishing agendas, preparing information and taking minutes.
- Provide executive office management to include scheduling meetings, making travel arrangements, ordering supplies and paying bills.
- Build and maintain positive and productive relationships with colleagues within HR and University, serving as a key point of contact for the office of the Vice President and act in the absence of the Vice President and Executive Director on matters of urgency or redirect matters to appropriate HR director and respond to a variety of HR inquiries by answering questions directly or working with appropriate area/subject matter expert to provide an accurate, appropriate response.
Successful candidates must have ability to manage multiple tasks and/or projects while accurately completing routine functions in a fast paced, high intensity, professional work environment. Must have demonstrated ability to provide superior customer service, time management, judgment and exceptional written and verbal communication skills. Position requires proficiency in MS Office, including Outlook, Excel, Word and PowerPoint and ability to learn financial and HR functions with SAP. Must have strong problem solving, follow-up, attention to detail, and planning and organizational skills. A high level of integrity, respect for confidentiality and diversity are all crucial attributes.

Prefer candidates with significant previous work experience providing executive level administrative support. Previous experience with SAP financial transactions and knowledge of SAP HR system preferred. Previous experience in a higher education environment also preferred.
