The Executive Assistant to the Dean serves as the principal aide to the Dean with responsibilities for overseeing the planning, operations, and management of the Dean’s Office. The Executive Assistant assures that all administrative responsibilities in the Dean’s office are met.
PRIMARY DUTIES AND RESPONSIBILITIES:
Provides executive support for the Dean and Office of the Dean. Oversees and ensures the daily administrative operations run smoothly for the dean. Responds to inquiries from faculty, staff, students and the public on behalf of the dean regarding campus operations, policies and procedures. Manages telephone and visitor traffic to deans’ administrative offices. Serves as primary contact for the Dean; refers inquiries to appropriate departments as necessary and responds on dean’s behalf. Investigates issues and problems. Drafts and prepares responses to urgent requests. Interact regularly with faculty and staff on behalf of the Dean’s office, and manage all administrative responsibilities necessary to representing the Dean’s office in a professional and organized manner.
Assures that all requests, communications, and demands made of the Dean’s office are addressed in a timely, high quality way. Assures that all deadlines are met. Assures that all tasks and administrative responsibilities of the dean’s office are met on time, professionally, and responsibly. Supervises the Dean’s office administrative staff.
Solves administrative problems with care, diplomacy, and professional judgment.
Develops procedures to keep the Dean apprised of Law School and University events for the purpose of determining the Dean’s participation and extent of involvement. Plans for the logistical, scheduling, personnel, resource, and communications requirements of all activities under the auspice of the Dean’s office. Coordinates events and visits under the responsibility of the Dean’s office.
Prioritizes issues and decides which need direct and immediate Dean involvement and response. Often formulates, writes, or otherwise communicates responses for the Dean.
Assists with, and is capable of implementing incident or emergency response when serious issues or challenges arise. Capable of leading incident and disaster response, overseeing crisis communications, and coordinating with campus leadership and resources. Assures that the School’s emergency preparedness is up-to-date.
Prepares confidential correspondence and all materials for senior staff and other officials. Assumes lead responsibility to prepare and assemble materials required by the deans for meetings and events. Researches, compiles and summarizes issues, policies and topics; provides background information, talking points and briefing materials for the deans as necessary.
Serves as the liaison and staffs the National Council, Dean’s Professional Advisory Committee, and other leadership groups and task forces that fall under the auspices of the Dean’s office.
Bachelor’s degree and five years’ experience, or in lieu of a Bachelor’s degree, seven years’ experience in a university or executive environment with responsibilities for academic administration, board support, faculty management, operations management, external relations, and/or communications.
Experience with calendaring and managing requests and issues from a wide variety of constituents.
Outstanding interpersonal skills and ability to work effectively with diverse constituencies of faculty, staff, students, staff, university officers, alumni, donors, national council members, professional advisory committee members, community based organizations, policymakers, professional associations, and media.
Excellent spelling, grammar and punctuation skills essential.
Ability to work independently and to organize and perform complex duties under the pressure of deadlines.
Must be able to establish and maintain excellent working relationships with all law school constituencies.�
Must be dependable, conscientious, and able to exercise discretion, show good judgment and maintain confidentiality.

The Executive Assistant represents the Dean and the School, and needs to be able to solve difficult policy, personnel, strategic, and program problems with minimal oversight and consultation.
The Executive Assistant must exercise careful diplomacy, know when to involve the Dean, and keep absolute confidentiality.
The hiring range for this position is $50,895 - $66,144 annually.
